Our Woodbridge, ON location is looking for a full-time Service Administrator. The responsibilities of the position consist of, but are not limited to:
Job Duties:
- Scheduling service for a large in-house fleet customer
- Communicating effectively with peers, internal and external customers on the status of service work and all other related items
- Inputting the technicians time daily onto the work orders in the system as required for work order completion and payroll
- Ability and desire to ensure vehicles are repaired correctly the first time
- Ability to estimate time of service or repair job for purposes of efficient scheduling
- Knowledge of parts requirements to complete a job, and ability to communicate parts requirements via repair orders
- Completing and invoicing service orders in a timely manner
- Inputting invoices into various customers systems/portals are required
- Inbound calls from customers regarding service invoice issues and resolution of complaints
- Arrange 3rd party services which include issuing purchase orders, receiving purchase orders and applying to service orders
- Providing assistance to our dispatch office to take customer calls as backup
- Provide support and assistance on other tasks as they arise
Skills:
- High School Diploma
- College or additional certification is a definite asset
- English fluency and effective verbal and writing communication skills
- Knowledge and experience in Excel and other computers skills are a MUST
- Excellent communication skills and follow up on requests and task are a MUST
- Excellent work ethic
- Superior organizational skills and multitasking ability
- Experience in a similar position is an asset
- Strong technical and mechanical background in the automotive or forklift industry is an asset
- Language Skills - Intermediate: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization.
- Mathematical Skills - Basic: Ability to add and subtract
- Reasoning Ability - Intermediate: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Physical Demands/Work Environment:
- Physical/Sensory Functions: Regularly will use hands, reach with hands; Frequently will talk/hear; sit.
- Vision: No special vision requirements.
- Work Environment: Regularly will work near moving mechanical parts; Frequently will be exposed to fumes or airborne particles
