Template Specialist (Hybrid)
Position Summary:
The Template Specialist is responsible for creating, updating and the maintenance of provider appointment schedules; this may include but is not limited to Primary Care, Specialty departments, Laboratory, Radiology, Nursing or other ancillary department schedules. The Template Specialist will work with key stakeholders in developing and modifying scheduling templates to optimize provider time in clinics and assist in improving patient access.
Essential Functions:
- Maintains clinic scheduling templates.
- Builds and performs template changes, and documents as required.
- Monitors clinic schedules and works with access staff to ensure efficient use of provider time.
- Ensures Provider schedules are complete, finalized and posted in accordance with organizational guidelines and best practices.
- Monitors and manages incoming requests and assures they are handled in a timely manner.
- Responsible for updating schedules to coordinate meetings, vacations, CME, training, etc.
- Serves as the subject matter expert on template build and strategies to maximize utilization, working directly with clinic managers and medical directors on new template builds.
- Works with a degree of autonomy for routine template requests, exercising good judgement on time management, prioritization of tasks, and determination of appropriate steps to address template requests.
Job Requirements:
Education Required:
- Minimum HS Diploma or GED Equivalent
Experience Required:
- Minimum 1-2 years of health care related experience (clinic, hospital, health system) which should include clinical and/or operational experience
- Strong organizational skills, ability to prioritize projects, exercising good judgement, working relatively independently, and meeting deadlines.
- Ability to follow all policies and procedures in performing job duties and responsibilities while supporting a culture of high quality and great customer service.
- Ability to understand & communicate effectively & diplomatically w/ all levels of personnel.
Certifications/Licenses Required:
- CA driver’s license with appropriate insurance coverage.
Technical Knowledge and Skills Required to Perform the Job:
- Experience using an Electronic Health Record (EPIC Preferred)
- Proficient in Excel, Word, Access, Outlook
Equipment Used (Computers, phones, vehicles, copy machines and fax machines etc.):
- Networked personal desktop computer and telephone.
Working Conditions and Physical Requirements:
- Prolonged periods of sitting and standing and use of computer.
- May be required to work early mornings, evenings and/or weekends to meet deadlines.
