Manufacturing Administrative Assistant
Position Summary and Responsibilities:
The purpose of the Manufacturing Administrative Assistant position is to provide support to the Manufacturing Sales, Finance, HR, and Executive leadership departments. Essential duties and responsibilities include the following. Other duties may be assigned.
• Act as the first point of contact for vendors, customers, applicants, and any other visitors by assisting with sign in and directing them to the appropriate party.
• Serve as a backup for customer orders by writing and placing sales orders, review confirmations, and enter and print purchase orders for operations.
• Process employee product orders.
• Assist with entering data into Safety Chain and Asset essential to maintain digital recordkeeping for safety & maintenance related programs.
• Manage hourly recruiting by opening and closing job requisitions, set up interviews, and provide support during new hire onboarding process to include coordination of pre-employment screenings, new hire orientation, and benefits enrollment.
• Scan employee documentation in the HRIS software system Dayforce.
• Serve as back up for payroll by auditing employee timecards and submitting weekly and semi-monthly payroll reports as needed.
• Assist with the planning, coordination, and preparation of employee events.
• Order office supplies.
• Manage employee communication by posting digital messaging and keeping employee bulletin boards up to date.
• Perform administrative tasks or special projects as directed by Plant Manager or Human Resource Manager.
Education and/or Work Experience Requirements:
• High School Diploma, GED or equivalent.
• Proficient with Microsoft Office is required.
• Ability to multitask in a fast-paced work environment.
• Ability to learn and use relevant internal applications.
• Excellent Verbal and Written Communication Skills
• Bilingual in Spanish required.
• Must possess and demonstrate a helpful, friendly, courteous, kind, and trustworthy attitude toward customers and co-workers.
• Must be self-motivated and able to excel with minimal supervision.
• Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.
• Ability to speak effectively before groups of customers or employees of organization.
• Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
• Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
• To perform this job successfully, an individual should have proficient computer skills to include Microsoft Excel Spreadsheet software, Word Processing software, PowerPoint & Outlook.
• Two-year associate degree from college or technical school; or two to three years related experience and/or training; or equivalent combination of education and experience.
• Must be able to lift and carry up to 20 lbs.
Driver’s License: A valid Texas driver’s license is required. Must be able to operate a vehicle safely and efficiently for business-related errands and travel.
