Interim HIV Coordinated Services Manager (On-Site)
Position Summary:
Under the general direction of the Director of HIV and LGBTQ+ Services, the Coordinated Services Manager is responsible for: developing, promoting and implementing SYHealth’s HIV and LGBT health and social support service programs; ensuring the overall implementation and quality of the programs; facilitating Consumer Advisory Board meetings; serving as the primary point of contact for HIV clients with concerns, complaints and/or grievances; and, representing SYHealth in the professional and local community by interacting and networking with community service agencies. The HIV Coordinated Services Manager must maintain confidentiality at all levels.
This is a temporary position with an initial assignment expected to run through the end of April 2025; potential for extension based on business need
Essential Functions of the Job:
- Develop and maintain health and social support services that enrich and enhance the quality of life, dignity, and respect of people living with HIV
- Hire, train, supervise, evaluate, and apply performance improvement or disciplinary actions for Coordinated Services staff and other direct reports
- Oversee Coordinated Services program administration, including program development, implementation, monitoring, and evaluation
- Independently establish, implement, and (as needed) update protocols, policies, and efficient procedures for department including staff training/development, program management, and reporting
- Facilitate the Consumer Advisory Board (CAB) meetings on a quarterly basis (at a minimum), summarize CAB meeting outcomes, and lead any service delivery initiatives designed to assess or modify existing protocols based on consumer feedback and input
- Review and address client concerns and grievances regarding service satisfaction. Serve as liaison between program staff and program participants to address needs and resolve concerns
- Oversee budget management and ensure compliance with specific budgets and funding sources. Develop budgets that meet program requirements and authorize expenses based on approved budgets
- Work cooperatively with accounting to monitor expenses monthly, forecast, and revise budgets as needed
- Works with the Director of HIV and LGBTQ+ Services and other managers in ensuring integration of and collaboration between health and social support programs
- Assist in the identification of grant funding opportunities related to HIV and LGBTQ+ services and programs; draft and review grant proposals and budgets prior to submission
- Assist the Director of HIV Services in increasing relationships and communication with SYH’s non-HIV programs and services to increase access to a comprehensive continuum of care for HIV patients
- Support Program Supervisors in staff supervision and evaluation
- Oversee preparation of specific monthly, quarterly and annual HIV services reports as required by funding entities and/or SYH Executive Management
- Represent SYH’s HIV and LGBTQ+ Services to other organizations and community groups
- Ensure all records are kept and activities are conducted in accordance with SYH Quality Assurance Policy and Procedures
- Ensure minimization of risk factor and liability exposure for all HIV Department staff and volunteers
Additional Duties and Responsibilities:
- Perform other related activities as required or assigned by the Director of HIV Services and Associate Vice President of Health Support Services
Job Requirements
Experience Required:
- Minimum three years supervisory experience in a non-profit health or human service agency
Education Required:
- High school diploma or GED Equivalent required
Verbal and Written Skills Required to Perform the Job:
- Excellent interpersonal, written, and verbal communication skills
- Professional writing ability to clearly communicate complex protocols and procedures in an organized manner
- Ability to convey ideas and information to others and receive feedback effectively
Technical Knowledge and Skills Required to Perform the Job:
- Proficiency in program development, implementation, and management—including establishing methods, processes, and procedures in practice and in writing
- Decision-making skills that will lead the program to achieve goals and ability to visualize the best response to challenges and situations that may arise
- Must have knowledge of physical, psychological, and emotional effects of HIV
- Knowledge of social determinants of health affecting vulnerable populations
- Demonstrated ability to be culturally sensitive and having respect for diversity
- Ability to convey an understanding of trauma-informed and participant-centered care
- Must have an aptitude for working within a harm reduction framework
- Experience and knowledge with Microsoft Office software
Equipment Used:
- General office equipment to include Computers, phones, copy machines, fax machines, Microsoft Office (Word, Excel, and Outlook)
Working Conditions and Physical Requirements:
- This is a temporary position with an initial assignment expected to run through the end of April 2025; potential for extension based on business need
- Long Irregular hours; may work weekends
- Prolonged periods of sitting, and constant walking and standing
- Driving and occasional travel required
