Job Summary:
The Administrative Assistant will provide high-level administrative support to company C-Suite executives, ensuring efficient operation of the executive office. This role requires a proactive individual with excellent organizational skills, attention to detail, and the ability to handle sensitive information with discretion. The role is equal parts “gate keeper” for the Executive Team and a welcoming presence for those seeking time and attention of the Executive Team.
Key Responsibilities:
- Calendar Management: Coordinate and manage the schedules of company executives, including meetings, appointments, and travel arrangements.
- Communication: Serve as the primary point of contact between the company executives and internal/external stakeholders. Handle correspondence, emails, and phone calls with extreme sensitivity.
- Meeting Coordination: Organize and prepare for meetings, including drafting agendas, taking minutes, and following up on action items.
- Document Preparation: Prepare and edit reports, presentations, and other documents as needed.
- Project Management: Assist in the planning and execution of special projects and initiatives.
- Confidentiality: Handle sensitive information with the utmost confidentiality and professionalism.
- Support Tasks: Perform other administrative duties as assigned to support the executive team.
Qualifications:
- Education: Bachelor’s degree in Business Administration, Communications, or a related field preferred.
- Experience: Minimum of 5 years of experience in an administrative support role.
- Skills:
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
- High level of discretion and confidentiality.
- Strong problem-solving skills and exceptional attention to detail.
- Superb de-escalation skills
Working Conditions:
- Full-time position base remotely
- Occasional overtime may be required.
