Job Summary: 

The Administrative Assistant will provide high-level administrative support to company C-Suite executives, ensuring efficient operation of the executive office. This role requires a proactive individual with excellent organizational skills, attention to detail, and the ability to handle sensitive information with discretion. The role is equal parts “gate keeper” for the Executive Team and a welcoming presence for those seeking time and attention of the Executive Team.

 

Key Responsibilities:

  • Calendar Management: Coordinate and manage the schedules of company executives, including meetings, appointments, and travel arrangements.
  • Communication: Serve as the primary point of contact between the company executives and internal/external stakeholders. Handle correspondence, emails, and phone calls with extreme sensitivity.
  • Meeting Coordination: Organize and prepare for meetings, including drafting agendas, taking minutes, and following up on action items.
  • Document Preparation: Prepare and edit reports, presentations, and other documents as needed.
  • Project Management: Assist in the planning and execution of special projects and initiatives.
  • Confidentiality: Handle sensitive information with the utmost confidentiality and professionalism.
  • Support Tasks: Perform other administrative duties as assigned to support the executive team.

 

Qualifications:

  • Education: Bachelor’s degree in Business Administration, Communications, or a related field preferred.
  • Experience: Minimum of 5 years of experience in an administrative support role.
  • Skills:
    • Excellent organizational and time-management skills.
    • Strong written and verbal communication skills.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Ability to work independently and as part of a team.
    • High level of discretion and confidentiality.
    • Strong problem-solving skills and exceptional attention to detail.
    • Superb de-escalation skills

 

Working Conditions:

  • Full-time position base remotely
  • Occasional overtime may be required.
