SUMMARY
The Proposal Specialist is responsible for managing the development, coordination, and submission of high-quality Statements of Qualifications (SOQs), proposals, and interview presentations to help Haydon Companies secure qualifications-based project opportunities. This role works closely with the Proposal Manager, business development team, and technical experts to craft compelling proposals that align with client needs and showcase Haydon’s expertise. The ideal candidate is highly organized, detail-oriented, and thrives in a collaborative environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES

- Assist in developing and submitting proposals, SOQs, and interview presentations to secure new projects.
- Collaborate with the Proposal Manager, marketing team, and technical staff to create compelling proposal content.
- Organize and manage proposal documentation, forms, and supporting materials to ensure compliance and accuracy.
- Design page layouts and informational graphics to enhance proposal effectiveness.
- Maintain a catalog of pursuit materials, including project descriptions, resumes, and business development collateral.
- Conduct competitive analysis and track analytics to improve proposal strategies.
- Submit public records requests and analyze debrief materials to refine future proposals.
- Support marketing and branding initiatives through photography and videography.
- Assist with networking, business development, and public relations efforts, including participation in industry events.

QUALIFICATIONS
Education & Experience
- Required: Bachelor’s degree in Marketing, Communications, Business, or a related field (preferably within the Architecture, Engineering, or Construction (A/E/C) industry).
- Preferred: 1+ years of experience in proposal writing, marketing, or business development in a B2B professional services environment.
Technical Skills
- Proposal & Document Management – Experience with proposal coordination, content development, and submission processes.
- Software Proficiency – Strong skills in Adobe Creative Suite (InDesign, Photoshop, Illustrator) and Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams).
- CRM & Analytics Tools – Experience using CRM platforms and proposal management software.
- Graphic Design & Visual Communication – Ability to develop infographics, marketing materials, and layouts.
- Industry Knowledge – Familiarity with construction industry terminology, standards, and best practices.

WORK ENVIRONMENT & PHYSICAL REQUIREMENTS
- Office-based role with occasional travel to job sites, trade shows, and client events.
- May require stooping, kneeling, or crouching during event setup or field documentation.
- Ability to wear PPE when visiting job sites.
- Ability to carry up to 20 lbs. occasionally (marketing materials, displays, etc.).
