Summary: The Technical Sales Support and Admin is responsible for creating and maintaining sales documents, including RFQs, quotes, orders, and invoices, to support Sales Managers in the North American turbomachinery aftermarket business. This role ensures all contractual obligations are met from the initial offer to the end of the warranty period, while maintaining clear and consistent communication with all stakeholders.

Key Job Responsibilities:

  • Create and manage sales documents (RFQs, quotes, orders, invoices) using SAP-based procedures.
  • Identify, coordinate, and update entries in the SAP database, ensuring data accuracy and integrity.
  • Handle customer inquiries, performing commercial and technical assessments as needed.
  • Issue RFQs to MAN Product Centers and suppliers, tracking responses to maintain project timelines and pricing accuracy.
  • Prepare detailed quotes adhering to MAN-ES pricing guidelines and internal/external terms and conditions.
  • Finalize commercial and technical details of sales documents through collaboration with internal teams.
  • Manage purchase requisitions for spare parts and service, and create order confirmations for service jobs.
  • Monitor order progress, coordinating with Product Centers, service shops, and local vendors to ensure timely delivery.
  • Maintain constant communication with internal teams and customers throughout project execution, expediting deliverables and resolving issues promptly.
  • Gather and dispatch shipping documents, providing clients with timely notices of readiness.
  • Complete invoicing, ensuring accuracy in taxes and logistics costs, and support audits as required.
  • Contribute to order intake forecasting and sales planning, providing timely and accurate data to support decision-making.
  • Maintain organized records, ensuring all duties are carried out efficiently and within deadlines.

 

Education:

  • Bachelor’s Degree in Business Administration, Science or Engineering.

 

Experience/Qualifications/Skills:

  • Extensive experience in contract administration and project coordination within heavy industrial manufacturing or service environments.
  • In-depth understanding of turbomachinery, including technical and legal aspects.
  • Advanced proficiency in SAP and ERP systems.
  • Highly skilled in MS Office (Excel, Word, PowerPoint).
  • Results-driven with strong customer relationship management abilities.
  • Exceptional organizational skills and meticulous attention to detail.
  • Proven ability to prioritize tasks, monitor progress, and meet deadlines in fast-paced settings.
  • Excellent communication and interpersonal skills, effective at engaging across all business levels.
  • Proactive, assertive, and self-motivated; thrives independently and within teams.
