Service Center Operations Specialist
SUMMARY
Responsible for supporting the operational, marketing and communication needs of the service center department by providing day-to-day support and assistance to the operating group leadership.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Oversees all matters as it relates to Facilities and Operations.
- Obtains and maintains resident and non-resident licenses for all agents which includes assigning pre-licensing courses, fingerprinting and schedules of state exam.
- Selects candidates, conducts interviews and recommend candidate hires to management.
- Works closely with and acts as a liaison with Corporate Human Resources teams.
- Processes website inquiries, including prospect inquiries, and assigns out as appropriate.
- Tracks and reports on the staff attendance.
- Prepare and set up all systems profiles.
- Creates presentations and analysis for internal and external meetings.
- Supports the team by providing training, handling escalated matters, answering questions, delegating tasks, and overseeing tasks/projects.
- Develop and maintain process for contract library and updates as needed.
- Regulates the approved vendor list and corresponding processes.
- Oversees departmental meetings, including scheduling, agenda development, drafting meeting notes, and ensuring completion of all action items.
- Develops and implements consistent organization wide policies, work flows and procedures.
- Conducts routine audits, reports on results and makes recommendations for improving compliance.
- Creates reports, analyzes and summarizes data.
- Directs annual allocation process with Finance and regional offices.
- Complies with agency management system data standards and data integrity (enters and maintains complete and accurate information);
- Other duties as assigned.
QUALIFICATIONS
EDUCATION / EXPERIENCE
Bachelor's Degree or equivalent combination of education and experience
High School Diploma Required
SKILLS
Excellent verbal and written communication skills
Good leadership, problem solving and time management skills
Self-starter with strong analytical, organizational and prioritization skills
Strong detail orientation
Ability to work within a team and to foster teamwork
Ability to work independently with minimal supervision
Ability to hold team members of all levels accountable to meeting agreed upon deadlines
Proficient in Microsoft Office products including Excel at the expert level
