About the role and what you’ll be doing:
We are looking for a Receptionist to be the first point of contact for our company. The Receptionist will manage our front desk on a daily basis and to perform a variety of tasks. The Receptionist will also need to be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position.
Key accountabilities:
- Answer/direct incoming calls on multi-line phone system.
- Direct and answer inquiries about company, products and services.
- Receive and greet visitors, vendors, and clients.
- General office duties to include incoming and outgoing mail, as well as order and maintain office supplies.
- Facilities, work with building engineer/property management for daily maintenance of office space (e.g. HVAC, elevators, etc.).
- Process ID badges for new hires/issue and maintain access control functions- verification of employee- and/or visitor identification. Work alongside IT Security to ensure company is within security compliance.
- Maintain conference room calendar on both 24th and 25th floors.
- Coordinate refreshments and food for executive meetings as needed.
- Perform miscellaneous tasks to support Executive Assistant to CEO and Executive team.
Skills and experience we’d like you to have:
- Proven work experience as a Receptionist, Front Office Representative or similar role.
- Hands-on experience with office equipment (e.g. fax machines and printers).
- Professional attitude and appearance.
- Excellent written and verbal communication skills.
- Ability to be resourceful and proactive when issues arise.
- Excellent organizational skills.
- Multitasking and time-management skills, with the ability to prioritize tasks.
- Customer service attitude.
- Accountable and flexible.
