POSITION SUMMARY

The Scheduling Coordinator, Therapy is directly responsible for staffing therapy cases, and communicating with field staff, patients and families to maintain proper care coordination and continuity of care.  The Therapy Scheduling Coordinator also assists the Therapy Supervisors with projects and tasks as necessary.  
 
HIRING REQUIREMENTS
  • High school diploma or equivalent required, bachelor’s degree preferred.
  • Minimum of 2 years customer/client service experience in fast-paced environment.  Home care or health care experience desired.
  • Excellent oral/written communication and interpersonal skills.
  • Experience in a sales environment preferred.
  • Experience communicating with customers/clients via telephone.
  • Demonstrated success in establishing relationships with a broad range of people.
  • Ability to process and manage confidential information.
  • Requires proficiency in MS Office (Word, Excel, Outlook, SharePoint).  
ESSENTIAL RESPONSIBILITIES
  • Manages start of care scheduling for all patients.  
  • Communicates with team members and clients in a timely manner and all communications are documented per Thrive SPC’s SOP.  
  • Updates the electronic medical record (EMR) to facilitate and support continuous care by assigned therapist(s) within ordered and authorized dates of service.  
  • Maintains most current status of eligibility, authorization and authed schedules in EMR, to ensure continuous care and readiness for billing. 
  • Escalates team member and patient concerns in accordance with Thrive SPC SOP’s and Employee Handbook. 
  • Assists with all incoming telephone calls; taking messages, routing appropriately and addressing client/team member needs as per Thrive SPC Policy and Procedure.
  • Initiates infection control and incident reporting forms and escalates to Therapy Supervisor per SOP.
  • Completes location reports as needed.  
  • Completes daily and weekly pre-bill audits to ensure proper payor utilization and appropriate staffing per payor authorizations and escalates non-compliance same day.
  • Participate in therapist orientation process as needed.  
  • Communicates as needed with Talent Acquisition Team about all staffing needs.  
  • Runs all required scheduling reports.
  • Populates initial therapy schedule per frequency orders.  Assists with transfer of patients between locations or from other agencies.
  • Assists in the verification of clinical notes to monitor compliance with schedules and authorizations as requested. 
  • Maintains current list of authorizations and monitors compliance between authorizations and visits/hours provided.  
  • Maintains authorizations/request of auths timely to prevent lapses in care.
  • Assists the Administrator and Clinical Director in office functions as requested.
  • Informs supervisor of emergency or problem situations, especially clinical concerns.
  • Acts in patient’s best interest and keeps the patient/caregiver updated at all times.
  • Other duties as assigned.

TRAVEL REQUIREMENTS
  • Occasional travel to other local Thrive SPC office locations.  
ESSENTIAL PHYSICAL DEMANDS 
  • The physical demands of this job require constant visual and auditory requirements and sitting, keying, and mouse input, occasional standing, walking, simple grasping, bending, squatting, kneeling, writing, pushing, pulling, reaching above and below the shoulder level.  Position requires occasional lifting demands of up to 5 pounds and occasional carrying demands of up to 10 pounds up to 50 feet.  Risk category II:  May anticipate occasional exposure to blood and/or body fluids during the course of this job.
