Senior Production Coordinator, Marketing Operations
The general salary range for this position is $70,000 – 83,000. Salary offers will be commensurate with experience, qualifications, skills, training and education.
The Humane Society of the United States (HSUS), the nation’s most effective animal advocacy organization, is seeking a Senior Coordinator, Production for the Marketing Operations department. In this position you will execute all aspects of production of promotional collateral and branding projects, handling vendor relationships from contract procurement through project delivery in coordination with the Senior Director, Production. You will work closely with internal clients and Communications and Brand teams to establish schedules, maintain quality controls, and ensure all deadlines are met. You will oversee the staff e-store, managing vendor contracts, inventory and providing staff support with support of other production team members.
Responsibilities:
- Establishes and maintains relationships with external vendors. Evaluates specifications, creates project-specific RFPs, analyzes bids and places orders in order to produce the highest quality deliverables within budget and deadline specifications in coordination with the Senior Director, Production. Keeps vendors up to date about the organization’s mission, brand guidelines, quality requirements, and accounting procedures;
- Builds relationships with internal clients and maintains communication channels to ensure smooth workflow. Collaborates strategically with staff on complex or multi-component projects, developing schedules to minimize expedited printing or shipping charges. Assesses production issues in advance and works with team to provide solutions that fit both staff and organizational needs;
- Manages the staff e-store, including vendor contracts and oversight on product inventory. Provides recommendations to the Brand and Visuals team on new products and other store improvements;
- Accountable for financial management of collateral, promotional items, staff e-store platform, e-store inventory monitoring and replenishment, and invoice processing. Works with internal stakeholders and agencies to derive cost efficiencies for print projects;
- Releases final art to vendors, uploads to FTP sites, and coordinates file delivery. Monitors scheduling and delivery of digital and printed proofs, routes printer proofs among Editorial and Brand and Visuals team to ensure consistent quality and color across all projects. Assists with finalizing designs and ensuring they are print-ready, including conducting pre-flight and pre-press checks. Attends press checks for printed work if necessary. Recommends delivery methods and monitors shipping and mailing to confirm delivery;
- Trains, mentors, and communicates with Programs on milestones, scheduling, accounting requirements, and adherence to brand standards;
- Maintains knowledge of current industry trends and offerings, and research new developments in printing and merchandising. Provides recommendations, as necessary, on products, schedules, proofs, and other related areas of the job;
- Maintains inventory of all projects, keeping detailed records of job history information;
- Perform other duties or responsibilities, as assigned.
Qualifications and Requirements:
- Bachelor’s degree in a related field or equivalent work experience required;
- A minimum of five (5) years of experience in a high-volume production and design environment required;
- Training in graphic design, production, or related field strongly preferred;
- Demonstrated experience building relationships with and managing vendors strongly preferred;
- Working knowledge of design and production. Expert understanding of design principles, color balance, and visual weight;
- Expert knowledge of the newest production software, techniques, and current trends;
- Excellent organization and planning skills necessary to create and maintain short and long-term schedules;
- Strong business acumen and negotiation and mediation skills with a high level of confidence, integrity, interpersonal skills, and a professional presence for effectively interacting with and influencing others, internal and external to the organization, as well as for facilitating meetings;
- Ability to coordinate and provide direction to freelancers for a variety of projects;
- Strong knowledge of Microsoft Suite (Word, PowerPoint, Excel, Outlook);
- Comfortable in a fast-paced environment with frequent deadlines; high energy, self-motivated and proactive;
- Ability to multitask and be flexible with regard to workload and assignments;
- Ability to exercise judgment;
- Strong written and verbal communication skills;
- Attention to detail and commitment to excellence demonstrated by the delivery of quality and timely outcomes;
- Ability to work both independently and as an effective team member in a team environment;
- Strong interest in animal protection issues preferred.
