  1. GENERAL SUMMARY:

The Bookkeeper is responsible for the financial record-keeping of the parish.  The Bookkeeper is the staff liaison for the St. Matthew’s Guild (Sunday collection counters) and is a member of the Church staff.

  1. MINIMUM QUALIFICATIONS: 
  1. Education, Experience & Certifications:

High school graduate.  Minimum of one to three years’ related experience required.  Typing skills, 10-key, and attention to detail and time management are required.  Demonstrated ability to use current software being used by the diocese, i.e., Microsoft Office 365, email, online conferencing. webinars and other mass communication tools. Proficient in accounting systems, knowledge of standard bookkeeping procedures, and demonstrates ability to learn. Due to the nature of this position, the incumbent must be a Practicing Catholic

Demonstrate a holistic approach to ministry. Requires strong administrative skills including attention to details, organization, interpersonal relations and collaborative ministry. Demonstrate the ability to meet weekly and monthly deadlines; a self-starter. Strong written and oral skills; is proficient, knowledgeable or willing to learn of current software being used by the parish i.e. Microsoft Word, Excel, Publisher as well as other technology as it applies to the parish ministry and its available services; understands the use of websites and has the ability to innovatively promote the use of technology to further the goals of the parish. Demonstrate the ability to be pastoral with parishioners.

 

  1. Physical Demands:

Ability to function calmly in a variety of high-pressure situations. Frequent walking, stooping, lifting, bending, kneeling, and lifting up to 25 pounds are required (workshops and meetings require transporting of equipment and materials). Requires the ability to set up small and large events.

  1. Essential Job Duty: Bookkeeping

 

Weight:     60%

      Standards:

  • Process bi-weekly payroll in Dayforce
  • Benefits Administration including Open Enrollment for all employees: Health / Dental Insurance, Short-term & Long-term Disability, Life Insurance, and 401k & retirement withholdings and payments, etc.
  • Administer FMLA paperwork and ensure FLSA compliance
  • Accounts Payables – process invoice payments and reimbursement disbursements weekly; assures documentation and receipts are provided before processing; or processes payments at the request of the pastor when appropriate.
  • Oversees tax reporting - includes 941, State withholdings, W-2s; processes 1099s
  • Diocesan Reports – Quarterly and Annual Financial Reports
  • Financial Reporting - Finance Council, balance sheet, profit & loss, collections, savings, endowment, and commission reports
  • Financial Projections – as needed for special projects
  • Budgeting and Planning – input of budgets and projections
  • Deposit checks and monies that come directly into office in collaboration with SMG;  liaison with banks
  • Reconcile bank statements monthly – Operating, Building, Fundraising, etc.
  • Process deposits for general donations or the sale of stocks from parishioners
  • Generate parishioner automatic draft transfers semimonthly on the 1st and 15th of the month – Offertory, Building Fund
  • General ledger preparation and preserving in accordance with retention schedule
  • Produce parishioner interim and calendar year-end giving statements
  • Generate giving pages and track payment information through online giving portal

 

  1. Essential Job Duty: Participate with staff at meetings, development training, and functions

  • Offer assistance to staff when they have a special need/problem
  • Assist pastor or business manager with special or one-time projects
  • Organize and maintain all files in file room and ensure compliance of record keeping according to Diocesan retention schedules

  • Create schedules
  • Coordinate teams
  • Provide supplies, including payment for security
  • Knowledge of process and procedures used to count and deposit funds
  • Produce weekly reports to pastor and church business manager

 

  1. Essential Job Duty: Admissions Support

 

Weight:   5%

      Standards:

  • Assist School Principal, Child Care Center Director, and Church Business Manager in producing church giving reports for school and childcare center admissions
  • Produce ad hoc reports as needed
  1. Essential Job Duty: Operating, Building Fund, Capital Campaigns, Fundraising, e.g. Parish Fair, Auction, Golf Classic, Charitable Gaming

 

Weight:      15%

Standards:

  • Accept offerings, pledges, donations, and/or sponsorships; track giving and produce related reports
  • Process invoice payments and reimbursements weekly
  • Process necessary deposits weekly
  • Reconcile checking account monthly
  • Produce reports that track all expenses and receipts
  • Maintain records and submit reports to LA Department of Revenue as required
