The Property Management Assistant position is responsible for reviewing and processing monthly and quarterly owner statements and accounts for condo development activity. Interface with maintenance and housekeeping contacts to process work orders, owner's punch lists and guest billing for repair, damage and theft to units. Assist owners as needed. Maintain accurate owners account records, weekly, monthly, and quarterly statements.
 

This is a full time position.

Essential duties and tasks of the position include but are not limited to:

  • Responsible for owner statements for Fairway Villa Condominium Development, Frontier Lodge Condominium Development, Wilderness on the Lake Condominium Development, Golf Course Cabin Condominium Development, Retreat Cabin Condominium Development and Glacier Canyon Lodge Condominium Development
  • Assist owners when needed by making reservations, and sending advance reservation lists, resolving questions about quarterly maintenance statements and/or any other invoices or reports sent to the owners.
  • Track inventory, maintenance and invoices for condo developments.  Ensure that detail is kept up to date. 
  • Help prepare quarterly statements and send to all owners updating them on account balances.
  • Help in the development process of the Condominium Owners Property Management Department.
  • Help prepare condominium owners mailings.
  • Aid in processing, filing and archiving department records.
  • Perform other duties as assigned and as necessary to facilitate record keeping for condo owners.

Weekly Duties:

  • Responsible for owner’s arrival lists and distribute to appropriate staff for each development.
  • Update quarterly maintenance statements from complete work orders and maintenance logs.
  • Track outstanding work orders and punch lists.  Communicate with Property Management Supervisors any delinquent work orders.
  • Track owner’s stays and records for housekeeping charges.
  • File owner’s records, invoices and communications.
  • Prepare and send communications to condo owners as necessary.
  • Answer calls and help condominium owners as necessary with questions, advance reservations lists and booking rooms.

Monthly Duties:

  • Responsible to help mail monthly revenue statements for condominium owners.
  • Prepare invoice for Owner’s Charge on extra Housekeeping Services.  Charges will be billed by invoice including reservation numbers and dates of use that resulted in cleaning charges.
  • Track Housekeeping billings for payment or forward to Property Management Supervisors for posting to Revenue Statement if not paid in 30 days.
  • Review condo development Project Sheets with Property Management Supervisors for status of work – track projects until completed, and then bill condo owners for materials and labor on Quarterly Maintenance Report.
  • Update price book based on billing charges for parts and materials on maintenance work orders and work logs.

Quarterly Duties:

  • Responsible to prepare invoice for Owner’s Charge on maintenance and replacement items for each condominium owner. 
  • Update spreadsheet for each Homeowners Association Development showing to date balance by unit number of remaining funds in “Minor Repair and Replacement “account.
  • Communicate with Property Management Supervisors on non paid invoice totals so they can be debited from condo owner’s monthly revenue statements.
  • Detail any work not completed for the quarter.

 

Annual Duties:

  • Reasonable to help with all departments year end reports including but not limited to: Spreadsheet for condo development/unit minor repair and replacement account and communicate minor repair & replacement account information so 1099 spreadsheets can be updated.
  • All other duties as assigned by management.

Education and/or Experience:

High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience
