Administration Specialist, Disaster Response
What is the opportunity?
The Administration Specialist, Disaster Response will manage the growth and engagement of the Disaster Assistance Response Team (DART) roster. The responsibilities include coordinating the hiring process for applicants, serving on the Incident Command Team during a response, and carrying out administrative duties. This role will help grow our roster and develop a culture of engagement, belonging, and commitment to the mission and values of Water Mission by regular communication through email, social media, and other outlets. They will serve as the primary point of contact for the applicants through the review, interview, and hiring process. This position will serve on the Incident Command Team (ICT) during a response as the staffing focal point for DART members. As the focal point they will recommend DART members for deployment, facilitate payments and reimbursements, book travel, rental cars, and accommodations for those deploying. Additionally, this position will carry out administrative duties that include working in NetSuite, Water Mission’s cloud-based management platform. Travel requirements domestically and internationally may be up to 15% annually. This position is based in Charleston, SC.

- Hiring and Engagement
- Serve as the primary point of contact for managing the growing DART roster that will include hiring, onboarding, deployment, payments, and performance feedback.
- Develop the onboarding process for all DART members to ensure they are welcomed to the organization, are well informed about Water Mission, and have a clear understanding of their role.
- Develop and manage engagement and communication strategies with the DART roster to increase awareness, foster community, and provide learning opportunities.
- Design and curate content to inform and engage DART members through email communication, print materials, and social media.
- Coordinate with the Human Resource department to facilitate contracts for new DART members and project assignments for those deploying.
- Create, manage, and document all pre-, during, and post-deployment DART engagement, including initial notification of disaster response, DART availability, and post-deployment performance feedback.
- Plan and coordinate the logistics for the Disaster Assistance Response Team (DART) training.
- Disaster Response
- Serve on the Incident Command Team (ICT) during a response as the primary point of contact for DART member deployment. This may include capturing availability, selection of positions, booking travel, tracking schedules, coordinating reimbursements, and sending contracts.
- Work with the Incident Commander to create and manage the disaster response budget and expenses during a disaster.
- Deploy as needed during a response.
- Administration
- Interact with NetSuite, Water Mission’s cloud-based business management platform.
- Create project numbers, upload budgets, and assign activity codes for disaster response projects.
- Generate reports to track income, expenses, invoices, and monitor purchase requests.
- Create purchase requisitions for disaster response related items.
- Manage the Microsoft Team’s channel by updating information for all disaster responses.
- Submit contracts and invoices to accounts payable.

- Bachelor’s degree in Communications, Business Administration, or related fields or 5+ years of relevant experience.
- Experience working in international disaster response is preferred.
- Familiarity with ERP systems such as NetSuite, Acrobat, and SharePoint.
- Proficiency in Microsoft Office software, especially Word, Excel, Teams, and PowerPoint.
- Ability to quickly assess a work environment, learn new concepts, and independently gather key ideas and details.
- Ability to enthusiastically take on new challenges and areas of growth when needed.
- May include working long hours and weekends during a disaster.
