This position will be based in San Diego, CA and is fully on-site 5 days a week
Summary:
Responsible for providing administrative support to leadership and general office support to Xencor’s San Diego site.
Job Duties:
- Performs general reception including welcoming visitors, and accepting deliveries
- Proactively assists with site and leader calendar management for multiple individuals, such as scheduling meetings and events
- Responsible for coordinating and managing logistics for meetings and events as assigned, including the coordination, set-up and cleanup of catering
- Processes expense reports, purchase orders and manages credit charges for the San Diego office and/or executives.
- Creates, and edit documents, correspondence and agreements using company approved templates
- Provides support and coverage for Executive Assistant in the Los Angeles corporate office, as needed
- Manages and orders office and kitchen supplies and location specific beverages and snacks.
- Maintains supplies and manages in and outgoing mail and packages
- Ships, receives and distributes delivered mail and packages
- Orders and coordinates pick-up of records for off-site retention
- Coordinates with HR to distribute employee promotional items (ex. new hire swag, employee gifts)
- Interfaces with the property landlord, various vendors and Facilities and IT staff; provides assistance as needed
- Supports the coordination of building and maintenance issues for general repair and updates.
- Sets up desks and offices for new employees; issues office keys (using key log); facilitates office and/or cubicle moves
- Assists with onboarding and offboarding tasks as needed
- Assists with projects as assigned
- Adheres to all department and company-wide policies regarding conduct, performance and procedures
- Performs other duties as assigned.
- Outlook, Concur, DocuSign experience or similar program experience.
- Experience in providing travel support for leaders, including booking and planning travel.
Education/Experience/Skills:
Position requires a high school diploma and a minimum of 2 years of related experience. Proficiency with Adobe and MS Office, including Outlook, Excel, Word, PowerPoint, and Teams. Experience working in a biotech environment preferred but not required.

Expected Contractor Hourly Range: $35.00 - $40.00 an hour
The actual salary will be based on the selected candidate’s qualifications, including skills, competencies, education and experience.
