Sales Assistant contributes to the efficient operation of the Mainstream Market by providing sales support to the sales team. The Sales Assistant will be responsible for office and administrative functions, which include but are not limited to order entry, answering telephones, taking orders from customers, inside sales reps, and sales employees. They will provide independent data entry and data management for the division, may help with marketing programs, which promote the company’s brand as well as coordinate cross-company promotions and marketing campaigns.

  • Ensure that each customer, client, and vendor receives outstanding customer service by providing a friendly environment which includes greeting and assisting every customer, maintaining outstanding product knowledge, and all other components of customer service.
  • Review customer orders and process sales orders and/ or purchase orders using the Oracle system.
  • Receive and respond to customers' inquiries by phone, email, or mail regarding order information, such as unit price, inventory, shipping dates, and any anticipated delays.
  • Receive and respond to customer inquiries or complaints and direct them to responsible personnel.
  • Maintain professionalism, stay abreast of new products, and recommend alternative products for out-of-stock items.
  • Check inventory to determine the availability of requested merchandise.
  • File documents according to company standard operation procedure (SOP) and able to retrieve them upon sales or customers’ request.
  • Confer with the sales team, warehouse, and office personnel to expedite customer orders.
  • Coordinates follow-up with customer service to ensure timely and accurate deliveries.
  • Responsible for daily registration activities including but not limited to printing invoices, matching purchase orders as necessary, checking on payments and forwarding cash receipts to the accounting department, mailing invoices, creating payment orders, and filing permanent copies.
  • Provides new and current customers with product information including pricing, delivery, inventory stocking, and/ or back-order availability, functionally equivalent cross matches, and value-added product information.
  • Receives sales data, edits for accuracy, and writes additional text to produce regular, monthly, and annual sales reports on sales figures, market conditions, or other relevant marketing trends. Prepares reports for distribution and oversees the forwarding of reports to internal personnel.
  • Assist in the development of market research and competitor awareness
  • Assist with the quarterly physical inventory (PI) which may be conducted during weekends.
  • Completes sales-related and marketing administrative projects that include running marketing and sales reports or researching the company.
  • Assists in writing and editing sales and marketing materials, which include articles, presentations, white papers, and collateral.
  • Maintain and strengthen the organization's overall brand through all media avenues including social media.
  • Strong organizational and project management skills with knowledge of revision control and document management such as the ability to compose, edit, and proofread written documents.
  • Perform other related duties as required.

Experience/ Training/ Education

  • High School Diploma or GED
  • 1 to 2 experience in an office environment, sales support, or business experience.
  • Experience with MS Office – Excel, Outlook, Word

  • Will be detail-orientated, self-motivated, and able to respond quickly to a fast-moving and ever-changing environment.
  • Knowledge of Microsoft applications (i.e. Word, Excel, Access, PowerPoint).
  • Knowledge of company food products and sales operations.

  • Knowledge of general office operation.
  • Excellent interpersonal skills in working and communicating with diverse employees at all levels of the organization.
  • Skill in keyboarding and using word processing, spreadsheet, and database management computer software.
  • Effective communication skills internally and externally via phone, email, and in person.
  • Strong customer service orientation with the ability to initiate and sustain productive business relationships with customers.
  • Ability to use the telephone professionally and courteously.
  • Ability to deal with people in a manner that shows sensitivity, tact, and professionalism.

Working Conditions:

Usually works a standard 40 hours a week in clean offices; however, some work shifts or overtime during busy periods may be required. They sit for extended periods and sometimes must be content with noise levels caused by various office machines. Due to the nature of the work, dealing with the project can be both stimulating and demanding. Working under pressure is unavoidable at times when schedules change and problems arise, but deadlines and goals must still be met. Sales assistants may spend time in the warehouse to check on inventory, as well as assist/monitor the preparation of products to be picked up/shipped out to customers.
