Position Title: Accounting Specialist & HR Coordinator

Pay Rate: 17.50 / hr.

 

About this opportunity:

Performs specialized clerical and bookkeeping tasks in the recording and maintenance of precise fiscal records and financial data.

 

Responsibilities include:

  • Applies detailed bookkeeping knowledge and skills to varied bookkeeping tasks such as recording revenue and expense transactions, checking entries, processing payments, reconciling accounts, and preparing basic financial reports for assigned accounts; prepares and maintains financial records in an accurate, complete, and timely manner while ensuring the integrity, security and accountability of Salvation Army financial accounts.
  • Under the guidance of a Regional Accounting Manager or Director of Finance, keeps the Commanding Officer abreast of the financial condition of the local unit at all times. 
  •  Serves as liaison to Divisional Headquarters Finance Department. 

 

  • Performs a variety of Human Resources functions for the Corps including: maintaining the filing system of human resources documents; processes electronic and manual new hire/termination requests, background check submission requests and e-verify entries

 

  • Posts open positions and participates in the interview process;

 

  •  Leads orientation meetings; ensures policy understanding and compliance

 

  • Monitors attendance balances and leave requests.

 

  • Audits and performs data entry and edits in the time keeping system; prepares and tracks health insurance enrollment/termination information

 

  •  Assists and trains employees in proper usage of the implemented human capital management system

 

  • Answers the telephone and provides general information regarding the Human Resources operations and/or services; processes incoming and outgoing mail. 

 

  • Posts and maintains a variety of ledgers; enters income and expense data into computerized financial systems as required.
  • Posts and maintains accounts payable items; receives, dates, obtains required approvals, and codes all bills and invoices; matches invoices with appropriate supporting documentation (i.e. requisition and
  • purchase order); enters data into the Accounts Payable module of the accounting system.
  • May determine or assist in determining weekly items due; may process or assist in processing payments.
  • Obtains authorized signatures on checks and distributes appropriately; files all check copies with required supporting documentation.
  • Performs research and reconciliation of vendor statements and accounts.
  • Assists in acquiring W-9 forms from applicable vendors per IRS requirements; requests, receives, and reviews the W-9 forms; submits the W-9 for verification, and ensures the verified W-9 forms are available and secured.
  • May receive and deposit cash receipts and prepare daily report of same; ensures all tasks related to cash receipts are performed in a timely manner and in accordance with TSA policies.
  • Receives cash receipt documentation, determines source and purpose of funds; enters related cash receipts into the Accounts Receivable module of the accounting system; files all cash receipts and deposit tickets with posting reports and other supporting documentation.
  • Maintains awareness of accounts receivable from Divisional Headquarters, Territorial Headquarters, other units, and vendors and records the income appropriately.
  • May assist in the calculation and billing of customers or agencies and recording of the receivable entry in a timely and appropriate manner.
  • Identifies and corrects any errors that occur due to data entry as requested by supervising staff.
  • Assists in monthly bank reconciliations by reviewing all cleared items to ensure all transactions are posted; researches the initial discrepancies and missing information; enters and posts any documented information.
  • Using program awareness, known restrictions, and reporting needs applying an understanding of relationships of the above to the item posting, classifies all receipt and disbursement in accordance with established codes.
  • Develops and maintains a filing system of a variety of financial documents; maintains and utilizes the bring-up filing system; purges files to obtain and update information; ensures the files are maintained in an organized and efficient manner.
  • Assembles and prepares records for presentation to auditor during routine audits; answers auditor questions as necessary; may assist in preparing a response to items in the audit report.
  • Reviews electronic timecards, ensures proper leave balances are maintained, applies edits as needed and enters data and corrections into the time system on a weekly basis; advises the supervisor of constant tardiness, excessive absences and other related attendance issues.
  • Plans, prepares, updates, and monitors personnel records; files documents alphabetically, numerically or by any other established filing system; maintains and utilizes a bring-up filing system; ensures the files are maintained in an organized and efficient manner; inputs data and generates various personnel reports and lists.
  • Trains and assists employees in the proper usage of the implemented human capital management system; troubleshoots basic errors and reports major issues to Divisional Headquarters.
  • Assists the supervisor by updating and submitting monthly enrollments, terminations, and changes to the billing statement for The Salvation Army Health Plan for Divisional Headquarters; assists in delivering open enrollment documentation.
  • Performs the necessary data entry functions required to submit new hire/termination, background check and e-verify requests; monitors electronic responses and notifies the supervisor of the same.
  • Completes necessary paperwork and data entry functions to ensure that all drivers are approved and are in compliance as required by state and/or organizational policies and standards; updates records as necessary.
  • Leads employee orientation meetings as prepared and provided by Divisional Headquarters; explains employee policies, local procedures, and office expectations; monitors general office behavior and reports breaches to the Corps Officer.
  • Maintains the confidentiality of all personnel and payroll records, and the confidentiality of personnel-related correspondence, conversations, or issues.
  • Posts and advertises available job openings and accepts and reviews applications and resumes from prospective employees. Forwards qualified applicant information to the various supervisors for consideration as potential employees; participates in the interview process of the qualified candidates as requested.
  • Monitors and ensures completion of 90 day and annual evaluations by supervisors and department heads; maintains pay increase records for appropriate storage as provided by Divisional Headquarters; audits increase reports to ensure accuracy.
  • Prepares, maintains, and updates office records, documents, logs, calendars lists, files, purchase orders, etc.; inputs and updates information in computer database; researches office files to locate specific information found in documents, correspondence, lists, forms, computer records, etc.
  • Answers telephone in a courteous and tactful manner; assists employees and people from outside The Salvation Army; provides accurate and complete information regarding the Corps’ operations and/or services; attempts to resolve complaints in a calm, courteous, and tactful manner.
  • Receives, sorts, and distributes mail in an accurate and timely manner; ensures that all mail received is forwarded to the appropriate person and/or destination; collects and prepares outgoing mail.
  • Photocopies and/or shreds a variety of items including correspondence, forms, reports, and
  • documents.
  • Distributes general information regarding The Salvation Army's services, programs, conferences, seminars, etc. in an accurate and timely manner; compiles mailing lists and ensures the accuracy and completeness of the same.

 

 

 

 

 

What we are looking for in you:

  • Two year college or technical school degree in accounting, bookkeeping, business or related field, 

 

and 

 

  • two years experience performing progressively responsible accounting and/or bookkeeping work with limited supervision and some exposure to double-entry fund accounting and two years of experience performing human resources support work in an office environment, 

or 

 

  • any equivalent combination of training and experience which provides the required knowledge, skills, and abilities. 

 

 

Physical Requirements and Working Conditions:

  • Ability to meet attendance requirements. 

 

  • Ability to read, write, and communicate the English language. 

 

  • Ability to keypunch information into a computer. 

 

  • Ability to sort and file documents alphabetically and numerically. 

 

  • Ability to perform routine and complex mathematical computations repeatedly, rapidly and accurately. 

 

  • Ability to operate various general office equipment including a computer and 10-key calculator. 

 

  • Ability to work well under the pressure of deadlines. 

 

  • Ability to follow instructions and work independently with limited supervision. 

 

  • Ability to effectively and efficiently work on multiple projects at the same time without becoming frustrated or disorganized. 

 

  • Duties are usually performed seated.  Sitting may be relieved by brief or occasional periods of standing or walking. 

 

  • Limited amount of physical effort required associated with walking, standing, lifting and carrying light objects (less than 25 lbs.) 5-10% of work time. 

 

 

  • Work is performed in a normal office environment where there are little or no physical discomforts associated with changes in weather or discomforts associated with noise, dust, dirt, and the like.
