Administrative Assistant I - Legacy
Location: Territorial Headquarters, Atlanta, GA
About this opportunity:
This position is responsible for Serving as a liaison between the Territorial Headquarters Legal Department and the Divisional Headquarters representative to support the legacy administration process; tracks and collects pending legacy information/documents. Organizes, reviews, and maintains Legacy files. Extracts necessary information from legacy documents and enters the required data and findings into a computer database; closes legacy files when cases are completed. Corresponds with Divisional Headquarters to obtain necessary information or communicate decisions. Performs data entry and runs reports on legacy matters. Reviews, researches, prepares and processes the Legal Department invoices for payment. Scans and organizes documents into electronic files.
Key responsibilities:
- Prepares, types, and processes correspondence to Divisional Headquarters to obtain necessary documents regarding legacies at the request of the paralegal(s), In-House Advisor for Estates, Trusts, and Probate and Legal Director; ensures the accuracy, completeness, and timeliness of the same; prepares mail for external distribution
- Assists Legacy Paralegals with general correspondence, filing, data entry, and transmission of data to Divisions and outside counsel.
- Retrieves back up and checks from the cashier's office. Upon receipt of backup from the cashier’s office, change check information on a spreadsheet from red to black for “as per” allocations. Thereafter, upload documentation to the appropriate legacy file in the legal tracker. Backup on “new” legacies will be given to respective paralegals for their handling.
What we are looking for in you:
- High School diploma or G.E.D. required supplemented by additional secretarial courses preferred AND
- Two years of experience performing clerical work preferably in a legal environment. OR
- Any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.
Physical Requirements and Working Conditions:
Duties are usually performed seated. Sitting may be relieved by occasional periods of standing or walking.
Limited amount of physical effort required associated with walking, standing, lifting, and carrying light objects (less than 25 lbs.) 5 – 10% of work time.
Work is performed in a normal office environment with little or no physical discomforts associated with changes in weather and occasional physical discomforts associated with noise, crowds, dust, lint, chemical odors, and the like. Ability to demonstrate physical stamina during extended live event coverage.
