Database Coordinator - Donor Services
The Salvation Army, an internationally recognized non-profit, faith based organization, has a job opening for a Database Coordinator in the Development department at North Texas Area Command, located in Dallas, TX.
Job Summary:
Provides professional and timely response to donors' questions, requests for information, changes regarding donations and donor records; creates and issues donation acknowledgements and correspondence with attention to accuracy and detail; performs accurate and timely entry of donations, donor record updates ,and information maintenance in constituent relation management database; creates various complex queries and reports and is responsible for accuracy and follow through of assigned projects; performs donor and prospect research, utilizing a variety of web based sources.

Donations Processing Responsibilities (35%)
Monitors and verifies daily bank update transmissions and lock box transactions; researches, troubleshoots, and resolves data transmission errors.
Processes the daily mail donations for the Area Command; allocates donations to appropriate accounts and balances account; enters donations in donor records database and generates donation reports; submits donations and reports to the Finance Department for further processing.
Database Entry, Maintenance, and Reporting Responsibilities (35%)
Enters donations, and/or oversees import of donation information into the donor database containing all confidential donor information for the Area Command.
Receives reviews and verifies information for data entry into the database to ensure appropriate information is present and complete; re-directs items with incomplete or inaccurate information; works with fundraising staff to trouble shoot areas needing resolution.
Ensures all data functions are performed in an accurate, complete and timely manner; ensures compliance with established deadlines and operational procedures; ensures the confidentiality and integrity of donor information and contributions.
Helps administer the matching gift program; processes matching gift forms; tracks and processes company gift matches and updates donor records accordingly.
Updates donor records on a daily basis including name and address changes, deletions or reduction in remits sent, etc.
Creates and processes honorarium and memorial acknowledgements for the Area Command; enters data into database; generates and distributes honorarium and memorial cards to the donors and recipients with attention to carefully fulfilling the donors' instructions.
Sorts, codes, and categorizes information to be entered into the computer; creates queries, searches, retrieves and creates summaries, reports, lists and correspondence as required.
Coordinates the information flow of donations and donor history to and from all centers, ensuring that donor acknowledgments and recognition is consistent across the Area Command.
Administrative Responsibilities (20%)
Ensures proper and professional procedures for donor contact and communication are utilized.
Accurately processes all donor acknowledgements with attention to maintaining a high quality of workmanship that individually recognizes and properly thanks each donor for their support; according to established best practices, completes and mails communications within specified timelines.
Addresses donors' requests and helps resolve problems regarding donations or other information held in the constituent relation management database.
Creates and processes acknowledgment letters for large gifts and any special acknowledgments as required.
Donor and Prospect Research Responsibilities (10%)
Performs donor and prospect research, utilizing a variety of web based source; provides summaries of data and reports to staff as requested.
Other Responsibilities:
Assists the Fund Development Department with special events and major projects. Works with Finance to reconcile income database entries with accounting systems.
Manages Army of Hope and other pledges annually; maintains donor records of the same. Maintains United Way statements from donors and acknowledges the same.
Prepares William Booth letters, certificates for distribution to the appropriate destination on a routine basis; maintains
Williams Booth memberships in database.
Assists and maintains Women's Auxiliary and Echelon gift entry and memberships in database Performs other duties as assigned.
Materials and Equipment:
Personal Computer General Office Equipment
Knowledge, Skills and Abilities:
Knowledge of general office practices and procedures.
Knowledge of effective and efficient methods for organizing and maintaining records and ability to perform the same. Knowledge of intermediate to advanced MS Office and Raiser's Edge or comparable relational database software.
Knowledge of bookkeeping and reconciliation procedures. Ability to maintain the confidential nature of the position.
Ability to present a positive and professional image of The Salvation Army.
MINIMUM QUALIFICATIONS REQUIRED:
Education and Experience:
High school diploma or G.E.D. required, with an Associate's Degree from accredited college and university in business administration, communications, or related field preferred,
and Three to four years donor database management experience,
or
any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.

Physical Requirements:
Ability to meet attendance requirements .
Ability to read, write and communicate the English language effectively. Ability to sort and file documents alphabetically and numerically.
Ability to enter data into a computer with a high rate of accuracy in a timely manner.
Duties are usually performed seated. Sitting may be relieved by brief or occasional periods of standing or walking.
Limited amount of physical effort required associated with walking, standing, lifting and carrying light objects (less than 25 lbs.) 5-10% of work time.
Working Conditions:
Work is usually performed in a normal office environment where there are little or no physical discomforts associated with changes in weather or discomforts associated with noise, dust, dirt, and the like.
