Job Summary
Oversees the operation of the Telephone Room on a day-to-day basis; supervises, trains, and evaluates the work of employees; ensures all calls are answered, directed, and transferred in a professional and courteous manner; coordinates schedule pickups and completes required forms; monitors and reviews organized recordkeeping system for all pickup records.
Supervises employees and ensures all incoming telephone calls are answered; responds to requests or inquiries about The Salvation Army donation pickup services; answers questions and takes orders for pickup service in a polite and professional manner. Supervises and participates in completing pickup slips based on information obtained from callers; inputs data into computer system in order to maintain and track progress of pickups. Supervises and participates in informing donors of The Salvation Army policies regarding what items can or cannot be picked up. Supervises and participates in answering dispatch calls from drivers; responds to questions and provides instructions regarding pickups needed. Supervises and participates in contacting donors if there is a problem with a scheduled pickup and reschedules pickups, as needed. Supervises and monitors the sorting and filing pickup tickets daily. Supervises and participates in contacting prospective donors to solicit donations, as needed.
Assists dispatchers in preparing and assigning pickup tickets to drivers, as needed. Assists drivers by calling residence prior to pick up or by providing directions to the donor residence, as needed. Types and mails detailed donation lists as requested by the customer, as needed. Assists the Dispatcher by performing various clerical duties. Ensures the telephone room area is kept in a neat and orderly manner.
Knowledge, Skills and Abilities
Knowledge of geographic area serviced in order to efficiently schedule pickups. Ability to successfully read and write in the English language. Knowledge of general office practices and procedures. Ability to successfully work with a variety of personalities in a polite and professional manner. Ability to build and maintain professional and effective working relationships with truck drivers.
Education and Experience
High school diploma or G.E.D. preferred, and six months experience assisting the public or operating a switchboard or any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.
Licenses and Certifications
None.
Physical Requirements and Working Conditions
Ability to meet attendance requirements.
Limited physical effort required associated with lifting and carrying less than 25 pounds on a frequent basis. Work requires sitting, walking, standing, bending, stooping, reaching, twisting, and some climbing.
Work is usually performed in an office environment where there will be minimal physical discomforts associated with changes in the weather or discomforts associated with noise, dust, dirt, and the like.
