Service Operations - Scheduling Coordinator, Nursing
POSITION SUMMARY

The Scheduling Coordinator is directly responsible for meeting the scheduling needs of our patients, clients, and nurses and communicating on a regular and timely basis with field team members, patients, and families to maintain proper care coordination and continuity of care. The Scheduling Coordinator advises location leadership on staffing and location challenges and needs, delivers on all established metrics to ensure team members, patients, and clients are properly served, and assists the Location Director with day-to-day office tasks and duties.
HIRING REQUIREMENTS
- Associates degree or equivalent work experience required. Bachelor’s degree preferred.
- Minimum of 2 years customer/client service and/or sales experience in fast-paced environment.
- Home care or health care experience desired.
- Demonstrated success in establishing relationships with a broad range of people.
- Proven ability to work independently to deliver on expected performance results in a fast-paced environment.
- Ability to process and manage confidential information.
- Excellent oral/written communication skills.
- Proficient with MS Office (Word, Excel, Outlook, PowerPoint) and other systems.
ESSENTIAL RESPONSIBILITIES
- Manages the full cycle scheduling process for all patients and field team members, including all schedule changes, ensuring patients are staffed to meet the patient/guardian’s needs with an appropriately skilled clinician, and within insurance authorization.
- Prepares weekly client schedules. Performs initial review of schedules for productivity/geographic issues and forwards schedules to location leadership for approval prior to distribution to clients. Distributes to clients weekly.
- Proactively communicates with clients and clinicians to discuss needs and/or concerns. Documents communications per Thrive SPC’s SOP.
- Escalates team member and patient concerns in accordance with Thrive SPC’s SOP and Employee Handbook.
- Required to participate in on-call rotation/after-hours support.
- Communicates as needed with Talent Acquisition Team about all staffing needs.
- Informs supervisor of emergency or problem situations, especially clinical concerns.
- Consistently takes initiative to meet/exceed goals.
- Assists with all incoming calls; taking messages, routing appropriately, and addressing client/team member needs as per Thrive SPC Policy and Procedure manual.
- Completes location reports as needed.
- Completes daily and weekly pre-bill audits to ensure proper payor utilization and appropriate staffing per payor authorizations.
- Ability to navigate Thrive SPC’s EMR system in a proficient and effective manner.
- Conduct home and/or hospital visits with Clinical Supervisors and or Area Manager.
- Acts as backup to Personnel Coordinator as needed.

TRAVEL REQUIREMENTS
- Occasional travel to other local Thrive SPC office locations, patient homes, and or referral sources.
ESSENTIAL PHYSICAL DEMANDS
- The physical demands of this job require constant visual and auditory requirements and sitting, keying, and mouse input, occasional standing, walking, simple grasping, bending, squatting, kneeling, writing, pushing, pulling, reaching above and below the shoulder level. Position requires occasional lifting demands of up to 5 pounds and occasional carrying demands of up to 10 pounds up to 50 feet. Risk category II: May anticipate occasional exposure to blood and/or body fluids during the course of this job.
