Job Description

The Retail Facility Manager is responsible for maintaining and enhancing the condition of Theisen's facilities, grounds, and equipment to ensure they are safe, functional, and visually appealing. This individual will work closely with the Maintenance Manager, Regional Managers, Store Managers, and external contractors to address existing and potential equipment, facility, and physical inventory needs. The role also includes planning and executing new store setups, remodels, and other significant projects in collaboration with the Brand Team.

The Retail Facility Manager will manage service contracts, ensure compliance with safety regulations, and oversee budgets related to facility projects. They will also assist in identifying opportunities for cost savings and operational efficiency while supporting the company’s strategic goals.


Qualifications

  • Bachelor’s degree in Business, Construction Management, Facilities Management, or a related field preferred.
  • Minimum of 3 years of experience in retail facilities management or a related field.
  • At least 3 years of managerial experience, with proven leadership in managing teams and projects.
  • Strong knowledge of maintenance operations, safety standards, and facility systems (HVAC, electrical, etc.).
  • Proficiency in facilities management software and tools such as FM Dashboard or Smartsheet.
  • Valid driver’s license with a clean driving record.
  • Availability for occasional travel, including overnight stays.

Key Responsibilities

  • Strategic Planning and Oversight:
    • Meet regularly with the leadership team to align on priorities and progress.
    • Develop and manage annual budgets for facility maintenance and CapEx projects.
  • Facility Maintenance:
    • Oversee the upkeep of all store locations, ensuring buildings, grounds, and equipment are functional and meet safety and quality standards.
    • Manage preventative maintenance schedules for HVAC systems, electrical components, forklifts, balers, floor scrubbers, shopping carts, and other store equipment.
    • Conduct routine inspections of facilities and grounds, identifying potential issues and planning necessary repairs or improvements.
    • Review utility consumption and identify opportunities for cost reductions.
  • Project Management:
    • Collaborate with the Brand Team on new store openings, remodels, and fixture installations.
    • Plan and coordinate installations, repairs, and refurbishments with minimal disruption to store operations.
    • Oversee external contractors to ensure quality, timelines, and cost compliance.
  • Team Collaboration and Training:
    • Work closely with store managers to provide contractor lists and ensure smooth communication for facilities needs.
    • Assist managers in preparing procedural manuals and ensure regular updates.
    • Provide guidance and oversight to the Maintenance Manager and other facilities staff.
  • Vendor and Contract Management:
    • Manage service contracts for pest control, lawn care, and snow removal, ensuring compliance and effectiveness.
    • Negotiate quotes and contracts with vendors to achieve cost efficiencies.
  • Compliance and Reporting:
    • Ensure adherence to state and federal regulations related to facilities management.
    • Maintain accurate financial and non-financial records for facilities operations.
  • Additional Duties:
    • Support stores during emergency situations, including inclement weather or urgent repair needs.
    • Other duties as assigned to support organizational goals.

Required Knowledge, Skills, and Abilities

  • Proficiency in Microsoft Word, Excel, Outlook, PowerPoint, and facilities management software.
  • Strong analytical and critical thinking skills, with the ability to evaluate and prioritize tasks effectively.
  • Excellent organizational and leadership abilities, including project management experience.
  • Strong communication skills, both verbal and written, to interact effectively with internal teams and external partners.
  • Knowledge of construction, safety codes, and maintenance best practices.
  • Ability to hold team members accountable while fostering collaboration.
  • High level of integrity and professionalism in handling confidential information.

Physical Demands

Frequent physical demands include sitting, standing, walking, and light lifting (up to 25 lbs.). Occasional demands include bending, stooping, reaching, kneeling, climbing stairs, and performing basic facility inspections. Specific vision abilities required include the ability to assess details and operate computer systems.


Work Environment and Conditions

This role is primarily based in a climate-controlled office, with occasional visits to store locations and outdoor areas. The noise level is generally low to medium, typical of office and retail environments. Some exposure to dust, odors, and outdoor conditions may occur.
