SUMMARY

The Reservations Group & Wholesale Lead should be enthusiastic about working in a fast-paced sales and service environment and fostering a team culture that strives for excellence. Lead will work closely with other departments, including Group Sales, Accounting, and Property Management.

 

The Lead will be instrumental in ensuring lodging and ancillary reservations booked via all channels are complete and free from errors so that they may be fulfilled with ease and so that guest expectations are met.  Reservations include lodging, lift tickets, rental equipment, sports school, golf, and all other product offerings that may be booked in advance.  

 

This person will be up to date on all Tamarack product features, guest benefits, discounts and promotions.

 

Leadership development plan and system training will be provided. Compensation is hourly plus commissions on consumed sales and bookings made without error.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Ensure Tamarack Resort standards of service are always delivered, and that value is created with every guest, homeowner, and fellow employee connection.
  • Will be responsible for rekeying online bookings, modifications, and cancellations via OTA channels.
  • Monitor availability and rates across all booking channels.
  • Help onboard new properties on the OTA channels.
  • Be the primary agent on the group call queue and email inbox. 
  • Build group lodging blocks per group contract in PMS.
  • Monitor and report on group pick-up and cut-off deadlines.
  • Confirm rooming lists are entered with correct billing and routing.
  • Quality control all group and wholesale reservations prior to arrival.
  • Fulfill internal lodging requests and track comp night usage.
  • Will take inbound Transient calls, emails, and chat messages as needed.
  • Be a resource to other departments in regard to reservations and fulfillment.
  • Fully understand all reservation systems and applications, including point of sale and advanced booking systems.
  • Be on time for all scheduled shifts, which may include weekends and holidays; and maintain acceptable attendance.
  • Ensure the Reservations department is able to consistently resolve issues in a timely, efficient, and professional manner by documenting and demonstrating processes.
  • Handle reservation issues (ie: overbookings or non-interfaced reservations) as needed and see through the resolution and ways to avoid the issue in the future.
  • Ensure advanced deposits due are collected for all reservations and that reservations are ready to be handed off to Front Desk and other departments for fulfillment.
  • Assist with special projects and perform other duties and responsibilities as assigned. 
  • Have fun! Create relationships and a professional rapport with Tamarack Resort guests.

 

QUALIFICATIONS

  • Must enjoy working and interacting with Tamarack Resort guests and other Tamarack employees.
  • Previous sales and service experience.
  • Preferred experience in a Property Management System and Point-of-Sale system. 
  • Ability to handle and manage confidential information.
  • Ability to multitask while maintaining organization and attention to detail.
  • Ability to solve problems and see resolutions through to the finish with guest satisfaction.
  • Must be over 16 years of age.

 

EDUCATION and/or EXPERIENCE

Prior work experience with a ski resort, seasonal business and/or the hospitality industry is highly preferred. 

 

LANGUAGE SKILLS

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.  Ability to write reports, business correspondence, and procedure manuals.  Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the public. Bi-lingual a plus.

 

MATHEMATICAL SKILLS

Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of geometry.  Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

 

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. The ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

 

PHYSICAL DEMANDS

  • Long durations of sitting and talking in both noisy and quiet locations. 
  • Frequent bending, climbing, kneeling squatting, twisting/turning from waist and pushing/pulling objects both with and without wheels. 
  • Will be working with hands and fingers and lifting and moving objects up to 25 pounds horizontally and vertically on a regular basis.
