Assistant Real Estate Transaction Coordinator and Office Assistant
Summary:
We are seeking a highly organized and motivated Assistant Real Estate Transaction Coordinator and Office Assistant to join our dynamic team. This individual will play a crucial role in supporting our real estate transactions and managing various office responsibilities. The ideal candidate will have strong communication skills, attention to detail, and a passion for real estate.
Key Responsibilities:
- Assist the Transaction Coordinator with the preparation and management of real estate transaction documents, ensuring accuracy and compliance.
- Coordinate communication between clients, agents, lenders, and other parties involved in transactions.
- Maintain and organize files, documents, and records, both digital and physical, ensuring confidentiality and efficiency.
- Schedule appointments, meetings, and property showings, providing necessary reminders and follow-ups.
- Daily office operations, including answering phones, greeting clients, and handling inquiries.
- Input and maintain data in the Customer Relationship Management (CRM) system.
- Assist with marketing efforts, including social media management, creating flyers, and maintaining property listings.
- Provide general administrative support, including document preparation, filing, and overseeing office supplies.
- Collaborate with the real estate team to ensure deadlines are met and client satisfaction is achieved.
- Build rapport with the prospective buyer, answer questions, take them through the discovery process and the real estate and resort amenities with enough information to generate further interest
- Utilize lead management software (Lasso/A360) to manage and nurture leads through a series of follow-up to maintain continuous engagement and uncover incremental sales
- Address Sales Agent issues as needed.
Qualifications:
- High school diploma or equivalent; additional education in business or real estate is a plus.
- Previous experience in real estate, transaction coordination, or administrative support is preferred.
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously.
- Excellent communication and interpersonal skills, with a friendly and professional demeanor.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with real estate software and CRM systems.
- Ability to work both independently and as part of a team in a fast-paced environment.
- A valid Idaho real estate license is a plus but not required.
