Job Summary:
The Warranty Administrator II is responsible for managing the warranty process for products or services offered by the company. This role involves overseeing the entire warranty lifecycle, from initial claim submission to final resolution, ensuring compliance with manufacturer guidelines and company policies. The Warranty Administrator works closely with customers, service departments, and suppliers to facilitate efficient and accurate warranty processing.
Essential Functions:
- Review and process warranty claims submitted by customers or service technicians.
- Verify warranty coverage and ensure all required documentation is complete and accurate.
- Submit claims to manufacturers or service providers promptly and track their status.
- Maintain detailed and accurate records of warranty claims, including documentation, correspondence, and approvals.
- Update and manage warranty databases and systems to track claim statuses and outcomes.
- File and organize warranty-related paperwork and documentation for easy retrieval.
- Respond to customer inquiries regarding warranty coverage, claim status, and resolution.
- Assist customers with the warranty claim process, providing guidance and support as needed.
- Address and resolve any issues or disputes related to warranty claims.
- Coordinate with service technicians, parts departments, and other relevant personnel to gather necessary information for warranty claims.
- Communicate with manufacturers or service providers to follow up on claim status and resolve any issues.
- Work closely with the accounting department to ensure accurate billing and reimbursements related to warranty claims.
- Ensure that all warranty claims comply with company policies and manufacturer guidelines.
- Monitor and report on warranty claim trends, identifying areas for improvement or potential issues.
- Stay updated on changes to warranty policies, procedures, and regulations.
- Maintain satisfactory attendance.
- Performs other related duties as assigned.

Qualifications:
Minimum Qualifications:
- Two years of experience in warranty administration or a related field, with a proven track record of managing and processing warranty claims effectively.
- High school diploma or equivalent.
- Ability to lift up to 15 pounds.
- Ability to perform all essential functions of the job description.
Preferred Qualifications
- Associate’s degree or higher in Business Administration, Automotive Technology, or a related field
- Experience with warranty management systems or software.
- Strong organizational and time-management abilities.
- Excellent communication and customer service skills.
- Attention to detail and accuracy in handling documentation and data.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software.
- Ability to work independently and handle multiple tasks simultaneously.
- Problem-solving skills and the ability to manage challenging situations with professionalism.
- Capacity to learn and adapt to new systems and processes
Physical Demands:
- Regularly stands, walks, sits; uses hands; reaches with hands and arms; talks and hears. Prolonged periods of sitting at a desk and working on a computer; lifts up to 15 pounds.
Environment/Noise:
- Noise level is moderate.
$33,700 base salary (paid hourly)
Potential total compensation $50k - $70K
