JOB SUMMARY
The Executive Support Manager to the Chief Human Resources Officer (CHRO) embodies professionalism, discretion, confidentiality, and collaboration. Acting as the focal point for the CHRO, this role provides analytical and specialized support for various duties and tasks, including day-to-day coordination of the CHRO’s busy schedule. Key responsibilities include maintaining the CHRO's calendar, prioritizing critical activities, organizing meetings and special events across multiple time zones, crafting professional correspondence, and ensuring exceptional service to internal and external stakeholders.
In addition to supporting the CHRO, this role will support the Chief Culture Officer for administrative duties such as calendaring and coordinating travel arrangements. Working independently and in collaboration with the CHRO, the Executive Support Manager offers support, professional direction, guidance, and logistical oversight. Additionally, the Executive Support Manager supports and leads critical initiatives in partnership with other HR leadership team members. This includes planning, scheduling, defining tasks, developing milestones, tracking deadlines, creating visuals and reporting conclusions.
This role serves as a trusted integrator and interface between the CHRO and internal and external stakeholders, providing proactive administrative support, planning, organizing, and prioritizing efforts and events as they arise. This role entails drafting, editing, and disseminating confidential and time-sensitive materials and communications.
ESSENTIAL FUNCTIONS
Key Responsibilities:
•Provide high-level executive support to the CHRO, anticipating and addressing challenges, and managing/rescheduling priorities effectively and proactively
•Schedule meetings, create agendas, prepare logistics, coordinate material preparation and distribution, and document meeting minutes
•Develop comprehensive plans in support of HR initiatives, including defining tasks, milestones, and deadlines
•Create charts and use other tools to track and visualize timelines and progress
•Maintain and update HR trackers by collecting information across all HR teams
•Assist in preparing the annual budget for the Human Resources Unit
•Prepare polished executive presentations using PowerPoint and similar applications
•Research and provide recommendations on special projects and assignments that would provide solutions to existing challenges and proactively address the foreseeable
•Maintain strict confidentiality of sensitive information, handling it with the utmost discretion and professionalism
•Establish and maintain complex digital filing systems
•Proofread complex HR documents; edit reports, proposals, and presentations for the CHRO
•Consult with the Employee Communications team on communications plans and internal relations
•Manage CHRO travel arrangements, itineraries, and background materials
•Support the Chief Culture Officer in calendar management and scheduling
•Participate in executive and team meetings, document key points, and ensure the communication and completion of action items
•Maintain CHRO expenses and submit expense reports monthly
•Identify process improvement opportunities and recommend solutions
•Assist in developing and managing HR information dashboard and tracking
•Manage life event tracking and recognition for employees across the organization
•Provide leadership and support for office personnel as needed
•Performs other duties and special efforts as assigned

MINIMUM QUALIFICATIONS
•Bachelor's degree in human resources, business, or a related field, or equivalent level of experience. Demonstrated success and a proven track record in professional/life experience in specific job functions, projects, or industries, and military service can substitute for the formal education requirements
•Five (5) or more years of executive support experience, including supporting C-suite executives, or equivalent combination of education and experience
•Experience with project management
•Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and similar tools for productivity
•Proven understanding of administrative operations, procedures, technology and systems
•Ability to interact professionally and diplomatically with confidential and sensitive situations
•General knowledge of human resources policies and procedures
•Ability to work independently, conduct research, prioritize responsibilities, solve problems, and manage deadlines effectively
•Strong ability to build and maintain relationships across all levels of business

WORKING CONDITIONS/EQUIPMENT USE
•Work is performed indoors in a typical office environment - not substantially exposed to adverse environmental conditions. Work is performed remotely.
•Some out-of-area and overnight travel is expected.
•Must be able to lift up to fifteen (15) pounds.
•Frequent use of office machines to include telephone, computer, and printer.
