Social Services Administrative Assistant in Augusta, ME

 

This role will be available for next 10 business days and will then be closed to applications.

 

DESCRIPTION:  This is a position in Augusta, Maine that provides professional and technical support to the Office of MaineCare Service's Complex Case Unit (CCU). This position provides assistance to potential and current clients and other stakeholders, research and analysis, and administrative assistance.  The CCU provides Maine residents with simple and timely solutions to complex healthcare, financial, and placement issues through integrated provider and community involvement.     


REPRESENTATIVE TASKS:

  • Provides professional and technical support to the CCU team by attending meetings, taking detailed meeting minute notes, sending emails, faxing documents, making calls.
  • Using MaineCare's eligibility and claims data, researches member information and presents findings using a team approach.
  • Reviews client applications for medical care services in order to determine client eligibility for assistance.
  • Develop, recommend, and implement new systems, procedures or organizational changes to improve organizational efficiency and effectiveness.
  • Conduct research on sensitive issues, prepare and manage special reports.
  • Responds independently to questions and inquiries from public and private sources concerning high-level and/or sensitive issues and activities.
  • Analyze reports, files and other forms of information in order to identify barriers to placement and shares findings with the team.

 

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Ability to type detailed and accurate team meeting notes while attending a meeting.
  • Ability to learn or knowledge of Microsoft and other programs.
  • Ability to create and manage Excel spreadsheets.
  • Ability to learn or have knowledge of disabilities and have the ability to assist in finding appropriate services for these individuals.
  • Ability to work independently.
  • Ability to compose, review, and edit complex and/or technical correspondence.
  • Ability to effectively present information to individuals/groups.
  • Ability to analyze solutions, reach logical conclusions and make sound recommendations.
  • Ability to apply to non-routine individual cases an explanation and interpretation of applicable rules, regulations, and policies.
  • Ability to understand and promote management goals as they affect day-to-day and long term operations.
  • Ability to effectively plan and adjust work operations to meet planned and unexpected change.
  • Ability to effectively represent the organization at internal and external meetings.
  • Ability to administer and/or oversee scheduling systems.
  • Knowledge of the principles of organization.
  • Knowledge of other federal/state programs offering services to clients.
  • Knowledge of medical terminology.
  • Knowledge of health insurance terminology.
  • Knowledge of special medical care services and non-standardized medical treatments available to clients.
  • Knowledge of computer technology and programs.
  • Ability to analyze and assess complex information.
  • Ability to establish and maintain effective working relationships.
  • Ability to communicate effectively.

 

MINIMUM QUALIFICATIONS: 

- A four (4) year combination of education and experience in care management/medical eligibility programs, administrative assistant and/or behavioral health. 
- The ideal candidate will have experience which demonstrates the ability to be an effective part of a team, to assist in working towards a prompt case resolution, strong data gathering skills during meetings, the ability to type accurately, an ability to work independently, and a willingness to learn. 
HS Diploma or GED is required; some college preferred.

*As part of the interview process, there will be a mock office meeting in which the candidate will be asked to take meeting minutes, summarize the meeting, and send a report to the hiring team afterward.*

 

Compensation for roles at Staffing Solutions Organization LLC (SSO) varies depending on a wide array of factors including, but not limited to, the specific office location, role, skill set, and level of experience. As required by applicable law, SSO provides a reasonable range of compensation for this role. In addition, SSO provides a range of benefits for this role.
