SUMMARY:

 

The Admissions Coordinator serves as the primary point of contact for prospective families, ensuring a seamless admissions process from inquiry to enrollment.This role is responsible for providing exceptional customer service, managing admissions inquiries, coordinating school tours and open houses, and maintaining accurate enrollment data. The Admissions Coordinator collaborates with school leadership and regional teams to support enrollment goals and enhance prospective family tour experience.

RESPONSIBILITIES:

 

  • Serve as the first point of contact for prospective families, responding to inquiries via phone and email in a timely, professional, and engaging manner
  • Guide families through the admissions process, ensuring they receive clear, accurate, and persuasive information about programs, tuition, and enrollment steps
  • Schedule and coordinate school tours by working closely with Principals and school leadership to provide a welcoming experience
  • Track and manage inquiry data in NetSuite, ensuring all contacts, follow-ups, and tour attendance records are accurately documented
  • Conduct regular follow up with prospective families to address questions, provide updates, and support conversion to enrollment
  • Maintain up-to-date classroom availability acrossmultiple school locations, ensuring accurate enrollment forecasting
  • Conduct weekly care calls with school leadership to discuss admissions trends, feedback, and enrollment strategies
  • Facilitate biweekly touch base with Regional leaders to review market insights and enrollment performance
  • Support and participate in school open houses, community events, and recruitment initiatives to increase brand awareness and attract new families
  • Work collaboratively with marketing and operations teams to enhance outreach efforts and develop enrollment strategies
  • Ensure a high standard of customer service and parent engagement, aligning with Spring Education Group’s mission and values
  • Occasional evening and weekend hours needed to support school initiatives
  • Perform other additional administrative or enrollment-related duties as assigned

 

 

 

Essential Skills and Experience:

 

  • Bachelor’s degree in education, communications, business administration or related field preferred
  • Two (2) plus years of experience in admissions, customer service, sales, or an education-related field preferred
  • Strong understanding of early childhood education is a plus
  • Understanding of parent needs and area competition
  • Exceptional written and verbal communications skills, with the ability to engage families and build strong relationships
  • Highly organized and detail oriented, with the ability to manage multiple inquiries and follow-ups efficiently
  • Proficient in Microsoft Word, Excel, and CRM systems (NetSuite experience preferred)
  • Strong problem-solving skills and the ability to work independently while collaborating with cross-functional teams
  • Passion for helping families navigate the school selection process with a customer-first mindset

 

 

Physical Requirements:

 

  • Frequent speaking and listening (50-75%), including phone and video communication. Must be proficient in speaking, writing and reading English to include reading and comprehending policies and procedures, and being able to correspond in English
  • Frequent use of computer keyboard and mouse (50-75%) with extended screen time
  • Frequent repetitive or fine hand movements (50-75%)
  • Occasional walking and standing (10-25%) for event participation and school tours
  • Limited bending, squatting, stooping, and kneeling (5-10%)
  • Ability to lift up to 25 pounds occasionally (5-I0%), as needed for event setup or promotional materials
  • Employee is regularly required to speak, hear and use clear vision with or without correction. This may include viewing small numbers.

 

Travel:

  • Must be able to travel by air, rail or, or motor vehicle to company locations for work-related responsibilities and for required professional development. The amount of travel required may be between 10-25%.

 

 

Work Environment & Additional Responsibilities:

The noise level in the work environment is usually moderate. The Admissions Coordinator may be required to work more than 40 hours a week. Position is year-round.
