SUMMARY:
The Registrar for the School of Pharmacy manages all administrative and operational functions related to student records, admissions, enrollment, academic scheduling, and graduation within the Pharmacy program. The Registrar ensures compliance with registrar-related university and school policies, accreditation standards, and federal regulations while providing exceptional support to students, faculty, and staff. The Registrar also serves as the program’s academic counselor responsible for tracking course registration, withdrawals, and attendance.
KEY JOB ELEMENTS:
- Admissions:
- Coordinate with the SOP Admissions Office the management and recording of SOP applications to South University and assist in managing the waitlist
- Facilitate the matriculation and enrollment of students accepted into the South University Doctor of Pharmacy program. Assist with reporting.
- Academic Scheduling:
- Assist in developing the 5-year academic calendar in conjunction with the School of Pharmacy leadership and the university.
- Manage the annual SOP academic calendar and course schedules.
- Collaborate with faculty to ensure optimal course offerings and resolve scheduling conflicts. Coordinate classroom assignments and resources.
- Supervise the entry of academic courses into the university student information systems and enrollment management system
- Enrollment and Attendance:
- Organize and enroll all incoming and current students into the appropriate pharmacy coursework.
- Manage the elective selection and enrollment process for all pharmacy students.
- Monitor attendance per the School and/or University policies.
- Adjudicate student appeals related to the university course attendance policy.
4. Academic Counselor:
- Guide pharmacy students on academic policies, procedures, and requirements.
- Address student inquiries and concerns regarding registration, academic records, and graduation requirements.
- Assist with the development and implementation of student support services and initiatives.
- Serve as the Veteran Affairs (VA) Liaison in the School of Pharmacy and work closely with the Savannah campus VA Official
- Program Progression:
- Verify, maintain, and process all pharmacy student grades according to policy.
- Monitor student persistence records and provide information to the School of Pharmacy, relevant committees, and the university.
- Serve as a liaison between the School of Pharmacy and the University Registrar(s) regarding student persistence, attendance, and satisfactory academic progress.
- Verify enrollment and/or graduation to external agencies upon request.
- Verify completion of graduation requirements and present candidates for graduates to the School of Pharmacy annually.
- Assists graduates with board of pharmacy intern and pharmacist licensure applications.
- Provides appropriate pharmacy boards verification of hours and graduation status for each student
6. General Support for School of Pharmacy:
- Functions Shares responsibility for planning, details, and organization of the School’s White Coat and Graduation ceremonies each year.
- Provide support for relevant School of Pharmacy personnel regarding eligibility for awards, scholarships, academic awards (e.g. Chancellor’s List, Dean’s List), and graduation honors.
7. Student Records/Data Management and Reporting:
- Maintain accurate and up-to-date student records, including transcripts, grades, student enrollment, and academic progress to generate reports and data analysis
- Manage the collection and storage of all academic documentation in compliance with FERPA regulations.
8. Compliance and Accreditation:
- Ensure compliance with university policies, accreditation standards, and federal regulations related to student records and enrollment.
- Assist with accreditation processes and prepare necessary documentation for accreditation reviews.
- Stay current with changes in regulations and policies affecting the Pharmacy program.
- Generate necessary correspondence and reports in requested formats for in-house, support staff, and external agency use.
9. Budgetary Responsibilities:
- Track spending and submit budget reports following budgetary guidelines. Act as a liaison with vendors and ensures invoices are up to date.
- Manage all purchase orders and provide related assistance as needed.
- Oversee all AR and AP processes for School of Pharmacy with Business Office. Maintain accurate AR and AP transaction records.
- Ensure timely and accurate invoicing for grants, community partnerships, and other program-specific revenue streams.
- Manage the collection of outstanding receivables and resolve discrepancies with Business Office.
- Coordinate distribution of non-financial aid related student awards and scholarships
- Serve as liaison between the School of Pharmacy and Business Office for any donations, external scholarships, research, grants, etc.

REQUIREMENTS:
- Bachelor’s degree in a relevant field; master’s degree preferred.
- Minimum of 5 years of experience in university registrar functions or related administrative roles.
- Excellent interpersonal and communication skills.
- Strong organizational, analytical, and problem-solving skills.
- Ability to work independently and as part of a team in a fast-paced environment.
- Proficient in standard office software (e.g., Microsoft Office, Excel, etc.).
- Experience using student information systems and enrollment management systems or large student-related databases preferred (e.g. Anthology, PeopleSoft, Banner, etc.)
- Knowledge of FERPA regulations and accreditation standards in higher education preferred.
