The Managing Editorial Assistant supports the Managing Editor and is responsible for inputting and maintaining metadata in the title database, routing jacket and cover mechanicals, and formatting bound galley covers. This person is also responsible for running reports, helping to monitor schedules, and doing other basic administrative duties. This position will be supporting our Avid Reader Press team.
The candidate should have clear communication skills, a great attention to detail, and an ability to learn quickly. A positive attitude and interest in the publishing industry as a whole is also very advantageous. This job is entry-level, so no previous experience is necessary, though experience with a publishing internship or publishing classes would be preferable.
The Managing Editorial Assistant supports the Managing Editor, as well handling many other responsibilities, including:
- Setting up ISBNs
- Inputting and maintaining the TM database
- Keeping editors on track to hold Flap Copy due dates
- Routing jacket mechanicals to hold To Printer dates
- Reviewing pass for press materials
- Following up with Editorial on late or missing items
- Creating bound galley covers
- Running reports, such as: overdue/upcoming manuscript; bound galley; production schedules; inventory; jacket routing; legal read; release; embargo assets; laydown
- Creating and distributing the Change Memo to Sales
- Trafficking interior and cover elements
- Routing manuscripts to Legal and following up on due dates
- Confirming the contract has been signed before the book goes to the printer
This position is hybrid (2-3 days in-office) and based out of NYC.

The hiring salary range for this position applies to New York City, California, Colorado, Washington state, and most other geographies. Starting pay for the successful applicant depends on a variety of job-related factors, including but not limited to geographic location, market demands, experience, training, and education.
