Position Summary

This position processes the disbursements of University funds in accordance with policies and budgetary limitations. 

Principal Duties & Responsibilities

  • Process university invoices, reconcile discrepancies, prepare payments, and maintain accurate records. 
  • Ensure the timely payment processing of paper checks and electronic payments, including student account refunds.
  • Manage process for student account refunds processed through accounts payable.
  • Responsible for researching outstanding checks and sending follow-up emails prompting recipients to act on outstanding checks in accordance with the escheatment schedule.
  • Retrieve documentation upon request during year-end audit.
  • Monitor the accounts payable inbox and respond to inquiries in a timely manner.
  • Work and interact closely with Business Office personnel and all university personnel while maintaining a high degree of confidentiality.
  • Reconcile vendor statements.
  • Administrative responsibilities related to Sacred Heart University’s e-procurement systems, including SHU eBuy and Concur expense. These duties involve monitoring email support to assist staff and faculty inquiries, as well as reviewing reports for accuracy and compliance with University policies.
  • Ability to process and follow-up on priority items.
  • Collaborate with IT to address any system issues or upgrades related to accounts payable software.
  • Special projects as assigned.

Knowledge, Skills, Abilities & Other Attributes

  • High School Diploma required.
  • Associate degree preferred.
  • 3-5 years' experience in a similar role.
  • Proficient in Excel and MS Word.
  • Energetic and positive attitude, great team player.
  • High degree of accuracy and attention to detail.
  • Excellent interpersonal, communication, customer service, problem-solving, and organizational skills.
  • Knowledge of accounting software programming is preferred.
