Position Summary
The Letter Shop Technician produces the university’s mass mailings. The position works closely with departments and turns electronic mailing lists into hard-copy, printed output, which in turn enters the U.S. Postal Service’s mail stream. In addition to mailings, this position assists the Director with marketing the department, ensures the monthly reconciliation process is followed, and records key metrics.
Principal Duties & Responsibilities
- Coordinates mailings with departmental representatives.
- Utilize postal software to manipulate electronic mailing lists into hard-copy printed matter suitable for mailing.
- Candidate should be proficient in Excel and have experience in the mail merge process.
- Operate letter shop equipment such as envelope printers, laser letter printers, folders, inserters, paper cutters, postal software, etc.
- Cross-train with other members of the department, which may include familiarity with the mail and package delivery process for students and staff.
- Proficiency in the operation of copiers and other equipment located in the Duplicating Center
- Must be able to use a wide format printer to print signs and banners.
- Maintain a log of outside vendors using our postal permits and ensure vendors are charged back for the postage used.
- Order supplies as needed through our SHU eBuy system and maintain an inventory of commonly used supplies.
- Market the department by maintaining branding standards, a positive website image, social media pages, and our digital storefront.
- Ensure billing activities are captured, maintain inventory, and work with staff to capture department metrics for all department areas so that senior leadership has an easy-to-grasp visual presentation of the department.
Knowledge, Skills, Abilities & Other Attributes
- College degree preferred. Will substitute for experience in a letter shop environment.
- CT driver’s license.
- Knowledge of postal regulations and mailing requirements.
- Excellent communication skills are required.
- The ability to work independently and attention to detail are mandatory skills.
- Must be self-motivated, a team player, and one who does not stop until the job is done.
Unusual Working Condition
This is a fast-paced working environment with time-sensitive conditions. The position requires the ability to lift packages and solve problems. The employee must work weekends and overtime if the task has strict deadlines.
