Position Summary

The Business Unit Manager will assist in managing and controlling the operating and capital budgets within the IT division. This includes providing strategic advice for the formulation of the annual budget in collaboration with senior staff members. Additionally, the Business Unit Manager will ensure that all University-required procedures for the control of financial resources, records, and accountability are met. These controls are outlined in the University Financial and Administrative Policy and Procedure Manuals.

Principal Duties & Responsibilities

 

Financial Oversight & Internal Controls:

  • Oversee internal controls for financial resources, records, and accountability.
  • Ensure compliance with budget requirements through reviews and evaluations.
  • Manage contract processing and approval workflow to include legal review, ensuring compliance with our policies and procedures.

Budget Development & Coordination:

  • Provide guidance and technical assistance to IT for budget preparation.
  • Collect, review, and ensure division budget data aligns with department needs.
  • Formulate and submit the overall department budget; recommend adjustments to maintain department operations.
  • Develop justifications and addendums in line with objectives set by the VP of IT.

Finance & Accounting Coordination:

  • Collaborate with the Finance division on IT-related accounting, journal entries, and reconciliation issues.
  • Manage IT billing, invoicing, chargebacks, and auditing for all related services.
  • Ensure accuracy of IT invoices, review for correct rates, resolve discrepancies with vendors, and process payments through AP.

Chargebacks & Vendor Payments:

  • Prepare and reconcile monthly and yearly IT chargebacks for various services (e.g., Verizon, SHUPad, Laptop).
  • Process payments and journal entries for outside vendors and IT-related services.
  • Oversee P-card purchases and payments for IT services.

Staffing & Human Resources Support:

  • Assist in hiring processes for full-time staff, student workers, graduate assistants, and contractors.
  • Maintain and update IT organizational charts.

Administrative Management:

  • Organize and manage administrative functions of the IT department.
  • Coordinate special events for the VP of IT and IT staff.
  • Ensure office and kitchen supplies are stocked and available.

Other Duties:

  • Provide support for additional administrative services as requested or required.

Knowledge, Skills, Abilities & Other Attributes

  • Bachelor’s degree in Business Administration, Accounting, or a related field preferred.
  • Two to four years in budget preparation, analysis, and accounting.
  • Ability to effectively interact with departmental staff, campus, and outside community.
  • Ability to effectively communicate orally, in writing, and electronically.
  • Ability to complete assignments given on a project basis, meeting established deadlines.
  • Ability to maintain accuracy and attention to detail in a fast-paced environment of changing priorities.
  • Ability to work independently and prioritize responsibilities.
  • Proficiency in Microsoft products, especially Excel.  
  • Knowledge of billing structures for IT-related services.
  • Must be customer service friendly.

Unusual Working Conditions

May be required to work during off hours/weekends and respond to any IT emergencies escalated to this role.
