Executive Assistant
Purpose
Enhances company executives’ effectiveness by providing information management support, anticipating needs, and representing the executive to others. Acts as a key resource in interacting with and arranging Board of Director and other executive meetings, travel, communication, time management, etc.
Responsibilities
- Creates reports and presentations of high quality for internal and external information/communication
- Drives corporate cyclical processes throughout the organization
- Participates and interacts with Executive Leadership, Board of Directors, and Strategic Partners in making travel arrangements, scheduling meetings, following up on requests and general communication
- Responsible for developing recommendations of executive’s time by reading, researching, and routing correspondence; drafting letters and document; collecting and analyzing information; initiating communications
- Manages executives’ calendar by planning and scheduling meetings, conferences, and travel; keeps executives on schedule as per diary/calendar
- Represents the company and executives when welcoming guests, customers, licensees, and Board members by greeting them, in person and by phone, answering or directing inquiries
- Maintains customer confidence and protects operations by keeping information confidential
- Responsible for projects as assigned by executives and coordinates support with other administrative assistants as needed, following up on results
- Reviews operating practices and implement improvements as necessary
- Reviews, recommends, and resolves customer inquiries and complaints
- Performs other duties as assigned
About You
- High school degree required; College degree strongly preferred
- 1-3 years business experience preferably in a corporate office setting; C-Suite experience a plus
- Bright and quick learner
- Advanced demonstrated ability in Word, PPT, and Excel and strong systems capability to set up remote meetings
- Excellent verbal and written communication skills; able to compose succinct cogent messaging
- Confident, patient, and exudes presence
- Problem analysis and problem-solving skills, organizational and planning skills
- Takes initiative and able to anticipate needs; serves as a gatekeeper at times
- Has the ability to make independent decisions regarding company initiatives without supervision
Physical Requirements
- Ability to travel up to ~10% of the time, which may include weekends and evenings, as needed.
- Most work is performed in a temperature-controlled environment
- Incumbent may sit for long periods of time at a desk or computer terminal
- Incumbent may use calculators, keyboards, telephone and other office equipment in the course of a normal workday
- Stooping, bending, twisting and reaching may be required in completion of job duties
