About the role:
RoundGlass is looking for an Executive Assistant to partner with the Founder/Partner to oversee a wide range of complex, confidential, and administrative responsibilities. The Executive Assistant must be creative and enjoy working within an environment that is mission-driven, results-driven, and community-oriented.
The Ideal candidate should possess the ability to anticipate the Founder/Partner's needs effectively to proactively address challenges and manage issues independently. With demonstrated professional administrative experience and exceptional organizational skills, the Executive Assistant will play a crucial role in the organization's success by staying informed about executive priorities, maintaining close communication with the leadership team, and serving as a key support to the Founder/Partner. Additionally, they will promote RoundGlass values throughout the organization to make a positive impact on the company culture.
What you’ll do:
Calendar, communication, and meeting management:
- Act as a trusted point of contact and confidently manage communications, meetings, and events on behalf of the Founder/Partner and the organization.
- Plan and schedule complex calendar(s) across multiple time zones with limited or no consultation and resolve calendaring conflicts. Negotiate and manage the needs of individuals or groups requesting time with the Founder/Partner independently committing their time.
- Act as the point of contact for Executive communications. providing a high level of service to internal and external clients/stakeholders.
- Demonstrate confidentiality while managing leaders' emails and implementing a cascade of sensitive information.
- Use independent judgment to keep the Founder/Partner informed of all matters that require their attention Independently prioritize, plan, coordinate, and/or oversee logistics and meetings/conferences with individuals and entities internal and external, including executive/leadership team.
- Prepare agendas and any required documents; transcribe minutes of meetings.
Travel management:
- Advanced experience in making domestic and international travel arrangements including procuring visas, currency exchanges, accommodations, and arranging ground transportation through international hotel concierges. Make recommendations regarding travel safety and immunizations etc.
- Possess a strong travel and stay network and connections, along with knowledge of fine dining and high-end cuisine partners to provide best-in-class & seamless personalized travel.
- Coordinate travel schedules, arrangements, and agendas in preparation for on-site and off-site meetings, conferences, and events.
- Adept with working out travel logistics i.e., use of Google Maps to plan real travel time between meetings, hotels, and airports.
Projects/Process and document management:
- Manage the content of information flowing into and out of the CEO’s office such as the schedule of the CEO, correspondence and presentations for the CEO, and other executive support, as needed
- Act as the point of contact for Executive communications (calls, emails, etc.) providing a high level of service to internal and external clients.
- Manage complex projects/processes/events and ensure that all facets of business travel are flawless.
- Prepare expense reports on behalf of the CEO as well as track and report.
- Conduct daily updates with the CEO to review priorities, potential conflicts, and all information updates to ensure the success and organization of the business.
- Prepare agendas and any required documents; transcribe minutes of meetings.
- Assist or lead the completion of special projects as assigned.
- Other duties as required.
Skills & Qualifications:
- Bachelor’s degree or combination of education and experience
- At least 8 years of related experience in project management and/or administrative support functions
- At least 5 years of executive assistant experience supporting C-Level executives.
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
- Ability to be proactive and flexible as schedules and priorities shift.
- High level of strategic partnership, providing insights and recommendations, business needs, and priority shifts
- Hyper-organized with the ability to solve complex business issues and schedule conflicts.
- Strong communication skills across leadership teams, internally and externally
- Ability to work through ambiguity with a relentlessly optimistic attitude in a fast-paced environment.
- Ability to work effectively in a global organization, across cultures and time zones.
- Ability to work outside core business hours as needed.
Pay & Benefits:
The anticipated salary range for this position is $75,000-$100,000. Compensation offered will be determined by level, job-related knowledge, skills, and experience. Certain roles may be eligible for a bonus incentive as part of a full salary package. In addition, Roundglass offers comprehensive benefits: Regular 9 federal holidays and 1 floating holiday, 3 days of bereavement, 2 days of jury duty, medical/dental/vision with PPO/HSA plans with employer contribution, EAP provided by CIGNA and Standard, Pet Insurance for your furry friends, Basic Life/LTD/STD employer paid, 401k plan with maximum match of $5,000.00, PTO (paid time off) 120 hours to start and increased by years of service. Some benefits are not applicable for Part-Time Employment & outside of the United States.
