As a Senior Program Coordinator - Financial & Government Programs at Ross Video you will be responsible for cross departmental budget / forecasting, government funding program management and Intellectual Property portfolio management. You will report to the Director of Program Management and work closely with Sr Director of R&D Operations, VP Product Development, CTO, R&D Departmental Leadership, corporate finance and HR organizations. You will also work with external organizations like consultants supporting SR&ED activities, government funding / tax credit agencies (CRA, ISED for SIF), and post-secondary institutions for funded research partnerships. With a solid command of general accounting and reporting, financial systems (of course Excel), and an interest in the technology that powers worldwide live event production, you will provide financial / business management guidance and action to help the drive for maximized efficiency and cost reduction across the R&D product development organization.

What the job is all about:
Grant and Funding Management
- Research and identify relevant federal, provincial, and municipal funding opportunities and grants.
- Prepare, submit, and monitor funding applications, ensuring all requirements and deadlines are met.
- Coordinate with internal and external stakeholders to gather information and documentation needed for applications.
Financial Analysis and Reporting
- Manage budgets and track spending related to government-funded projects.
- Prepare financial reports, statements, and documentation for government funding audits.
- Work closely with the finance team to ensure accurate allocation of funds and compliance with financial guidelines.
Program Compliance and Administration
- Ensure all programs adhere to government regulations, guidelines, and reporting requirements.
- Monitor and maintain records of government funding agreements, ensuring timely submission of required documents and adherence to contractual obligations.
- Act as the primary point of contact for government agencies, responding to inquiries and requests.
Intellectual Property Management
- Solicit & facilitate discovery sessions with internal teams to identify the intellectual property developed by the company
- Facilitate the patent application process between internal inventors and the external patent agency
- Maintain an internal repository of trade secrets
- Manage maintenance and renewals of issued patents
Stakeholder Relations
- Develop and maintain relationships with government agencies, industry associations, and funding bodies.
- Provide updates to internal departments on government program changes, eligibility requirements, and upcoming opportunities.
- Coordinate with project leads and department heads to communicate funding expectations and ensure alignment with program guidelines.
Continuous Improvement
- Stay updated on changes in government programs, funding policies, and best practices.
- Identify and recommend process improvements to streamline application and reporting processes.
- Train and support internal staff on program compliance and reporting requirements as needed.
Who you are:
- Bachelor’s degree in Business, Finance, Accounting, Project Management or related Science / Engineering field.
- Minimum 2-3 years of experience in finance, grants administration, or government program coordination.
- Familiarity with Canadian federal and provincial funding programs, grants, and tax incentives such as SR&ED, SIF, MITACS
- Advanced skill level with Microsoft Excel and significant experience with the rest of the Microsoft Office Suite.
- Some knowledge of product development lifecycles.
- Fundamental knowledge of financial concepts, analysis skills, and planning / tracking budget performance
- Experience coordinating cross team analysis and reporting initiatives with fixed deadlines for consolidated output
- High level of critical and logical thinking, analysis, and/or reasoning to identify underlying principles, reasons, or facts.
- Self-driven, self-organizing.
- Curious & tenacious nature.
- Ability to manage multiple concurrent activities that span multiple groups with strong ability to manage multiple projects and deadlines effectively.
- Competent written and oral communication, being able to clearly explain complex concepts in a clear & concise manner that is not overwhelming such as ability to analyze financial data and prepare meaningful reports.
- High level of attention to detail and accuracy.
- Flexibility to adapt to changing government policies and funding programs.
Bonus points if you have the following:
- A professional accounting designation (CPA) is an asset.
- Understanding of compliance requirements and financial reporting standards.
- Some knowledge of accounting for software products, experience working within a software technology firm would be an asset
