Safety & Security Dispatch

 

Primary Responsibilities: Answer and direct internal and external telephone calls in a courteous and professional manner while following standard operating procedures. Accurately document, maintain and update records of all incidents reported to Safety & Security Department. Clerical support for Safety & Security Team Leaders. Assist guests, clients, and employees concerns over the phone and/or via email. Dispatch security officers where needed.

 

Essential Duties:

  1. Answer and direct internal and external telephone calls in a courteous and professional manner.
  2. Address guests concerns, complaints, or issues with a positive attitude and a commitment to resolution.
  3. Coordinate communications within the resort, including emergency procedures, alarms, life safety, or natural disasters.
  4. Dispatch security officers.
  5. Accurately document incidents, inquiries.
  6. Clerical support for Safety & Security Team Leaders.
  7. Ensure all necessary correspondence, bulletins, reports, and other information is distributed to the Safety & Security Team.
  8. Assist in updating, printing and distribution of Contractor Passes.
  9. Assist in updating Team Member lockers to ensure that Human Resources has an accurate inventory.
  10. Utilize hotel management software and communication systems effectively.
  11. Contact applicable departments regarding guest requests or concerns.
  12. Perform other related duties as assigned or required.

Other Duties:

1. Maintain Safety & Security bulletin boards.

2. Oversee the cleanliness and maintenance of the Safety & Security offices and equipment.

 

Working Conditions:

1. Ordinary office conditions.

2. Travel Between hotels.

3. During emergency situations, must be available.

 

Work Hours:

1. Able to work shifts and days determined by the Safety & Security Director.

2. Able to work more than 40 hours per week when needed.

 

Equipment Use:

1. Proficient in the use of a computer, resort’s approved Microsoft office and other software.

2. Telephone and radio

3. Various office equipment including but not limited to calculators, photocopiers, stapler, and facsimile machines. Saflok Machines and System

4. AED

 

Mental and Physical Demands:

1. Able to prioritize and organize workload to ensure deadlines are met.

2. Able to manage stressful and challenging situations.

3. Able to sit at a desk to do administrative duties.

4. Lift and carry up to 50 lbs.

 

Communication Demands:

1. Able to communicate verbally over the phone to employees, managers, guests, and clients.

2. Able to respond to inquiries in writing and/or by email.

 

Minimum Qualification Requirements:

1. Efficient in the use of the computer and hotel software.

2. Must be pleasant and friendly.

3. Must be able to multi-task.

4. Firs Aid / CPR / AED Certification.
