Reservations Agent
 

 

Primary Responsibilities:   Take, confirm and process reservations for the hotel or Prince Resorts.  Answer all inquiries regarding rooms/rates and facilities.  Respond to faxes, letters and other correspondence in a timely manner.  Receive and input credit card charges for all advance cash deposits and refunds.  Assist Front Office Agents with arrival and departure information.  Project a friendly and outgoing personality with excellent verbal skills to communicate over the telephone and sell rooms for the resort.  Knowledgeable on the different packages offered by the hotel and Prince Resorts.  Efficient, organized and able to up-sell room categories and packages.

 

Essential Duties:

  1. Answer telephone calls or other inquiries on room reservations at the resort according to procedures and standards.
  2. Answer questions regarding room rates, resort facilities, packages offered by the resort, and the Big Island.
  3. Book, confirm and process reservations for the resort or other Prince Hotels.
  4. Receive and input credit card charges for advance deposits and process refunds.
  5. Assist front office agents with arrival and departure information.
  6. Project a friendly and outgoing personality with excellent verbal communication skills to sell rooms over the telephone.
  7. Knowledgeable on the different packages offered by the hotel and Prince Resorts.
  8. Block rooms for groups and FIT guests.
  9. Input group reservation information and prepare rooming list.
  10. Up-sell room categories or packages.
  11. Prepare reports as requested.
  12. Perform other related duties as assigned or required.

Other Duties:

  1. Assist with mailing brochures to guests.
  2. May give resort tours.
  3. Assist other positions in the department.

 

Working Conditions:

  1. Normal office conditions       

Work Hours:

  1. Able to work shift and days determined by the manager.
  2. Able to work in excess of 40 hours per week.    

Equipment Use:

  1. Proficient in the use of a computer and with the software used to perform functions of the job.
  2. Telephone.
  3. Various office equipment including but not limited to calculators, photocopiers and facsimile machines.
  4. Stapler, hole puncher, file cabinet, and other office tools.

Mental and Physical Demands:

  1. Ability to prioritize and organize workload to ensure deadlines are met.
  2. Must be friendly and pleasant in talking to people inquiring about staying at the resort.
  3. Must be able to sit during most of shift to perform job duties.

Communication Demands:

  1. Able to effectively communicate over the telephone to callers booking reservations.
  2. Able to communicate verbally and in writing to employees, managers, guests, travel agents, etc.

Minimum Qualification Requirements:

  1. Must be able to read and write effectively to perform job duties.
  2. Must be warm and friendly and able to sell and up-sell rooms or packages.
  3. Ability to multi-task.
