Event Specialist
Location: Loves Park, Illinois (currently hybrid with up to 50% remote)
Your mission in the Darts team:
At TouchTunes, your work matters! If you love working in the events and entertainment space, TouchTunes has a unique opportunity planning exciting and impactful darts tournaments to existing and new players and fans.
As the Events Specialist, you will be responsible for assisting Tournament Director with planning, coordination, and execution of the TouchTunes Darts Tournament strategy. A key responsibility of this role is organizing and planning event elements of the Bullshooter World Tour event series which features tournaments across America with an annual final event in Chicago. The Events Specialist will use their strong organizational skills to showcase live tournaments for players and exposure to new and passionate fans.
Your day-to-day:
Event Coordination and Execution
- Research and identify venue options in target markets based on the Tournaments Strategy.
- Negotiate business terms and execute all steps to ensure contract execution.
- Assist Tournament Director with tournament location event execution, including ensuring venue contract elements are upheld.
- May assist with event setup, teardown, and other elements related to a seamless event for players and fans.
- Coordinate with vendors, staff, and volunteers to ensure smooth event execution.
- Ensure all event elements are implemented according to plan and meet quality standards.
Problem Solving and Adaptability
- Address and resolve on-the-spot issues efficiently, ensuring minimal disruption to events.
- Adapt to varying environments, including indoor and outdoor venues, and adjust plans as needed.
- Maintain composure under pressure and provide solutions to unexpected challenges.
Team Coordination
- Assist Tournament Director with coordination and support of on-site staff and volunteers.
- Provide guidance and leadership to maintain a positive and efficient event environment.
Logistics Management
- Oversee the transportation, setup, and breakdown of equipment and materials.
- Ensure venues are prepared and comply with safety and accessibility standards.
- Manage event timelines and ensure all activities occur as scheduled.
Participant and Attendee Experience
- Ensure a welcoming and professional environment for players, sponsors, and attendees.
- Handle inquiries and concerns promptly and professionally.
- Gather on-site feedback to inform future improvements.
Post-Event Reporting
- Conduct debriefs to assess on-site operations and identify areas for improvement.
- Provide detailed reports on event execution, including successes and challenges.
Your profile:
- Bachelor’s degree in Event Management, Hospitality, Sports Administration, or a related field.
- 3+ years of experience in event planning or management, preferably in sports or large-scale events.
- This role requires flexibility to travel on weekends, especially during the tournament season, as most tournaments take place on weekends.
- Strong organizational and time-management skills.
- Excellent problem-solving and decision-making abilities.
- Ability to thrive in fast-paced and unpredictable environments.
- Strong communication and interpersonal skills.
- Proficiency in event management software and Microsoft Office Suite.
- Physical ability to handle event setup and breakdown tasks; includes ability to lift/push/pull up to 75 pounds

Work Requirements:
- Ability to travel - This role requires the flexibility to travel, including weekends during tournament season.
