We are seeking a highly skilled Executive Administrative Assistant to provide executive administrative support to the Senior Vice President, Chief Information Officer and Senior Vice President, Chief HR Officer. This role will also assist other officers and department members as needed.
Major Responsibilities:
• Provide executive administrative support, including full calendar management, travel and expense management, documentation preparation, event planning and special projects as needed.
• Maintain officers’ calendar and assist in scheduling appointments, conference rooms, board meetings, conference calls, catering, etc.
• Coordinate leadership meetings, cross-functional officer meetings, and recurring meetings, working with IT and HR leadership teams and other executive admins, as needed.
• Prepare board presentations, spreadsheets and other board materials.
• Manage confidential information and sensitive documents, ensuring they remain secure.
• Manage and prioritize all correspondence, information requests, agendas and meeting scheduling (weekly staff meetings, quarterly meetings, team building events, holiday party, etc.)
• Coordinates travel arrangements, maintains itineraries, agendas, compile and maintain travel records, and complete expense reports.
• Assist in the Annual Leadership Forum event planning. including securing the venue, managing attendance and catering, and any other day-of needs.
• Maintain and update organization charts for BPU requests.
• Manage HR department workspace, including office equipment and overall supply management.
Position Requirements:
• Bachelor's degree preferred.
• 5+ years of experience as an executive administrative assistant, supporting C-level executives.
• Proficiency in Microsoft TEAMS, CoPilot, Word, Excel, PowerPoint, Outlook, and Visio required; Power BI preferred.
• Excellent verbal and written communication skills.
• High level interpersonal skills to handle internal and external organizational relationships.
• Self-motivated with strong organizational and time management skills.
• Ability to multi-task and prioritize responsibilities.
• High level of discretion, with ability to work in a highly confidential environment.
