St. Ann’s Community is currently looking for a full time Administrative Assistant for the Adult Day Services Center located on our Irondequoit campus. The primary focus of this position is to provide administrative assistance to the Director of Adult Day Services, including administrative support, office management, and secretarial support for all three adult day centers.

Job Description:
- Under general direction, work from policies and objectives with little functional guidance. Maintain high quality performance due to sensitivity of information and need for confidentiality.
- Performs all secretarial duties for Director, nursing, social worker, recreation, program assistant and diet technician in a timely and accurate manner. This includes, but is not limited to, mail retrieval and distribution, copying and distribution, answering phones, preparing correspondence, and letter generating.
- Maintains appointment calendar for Director including coordination with outside agencies and vendors, family, staff, and other departments.
- Sets up Adult Day Health Care (ADHC) charts in vision for admissions. Maintains physician renewal order and physical due date schedule as required by DOH. Schedules/coordinates outside medical appointments and uniform assessment (UAS) system’s schedules.
- Produces required DOH and billing documents including: daily census, weekly Intake and Admissions activity report, and monthly reports compilation and disbursement for all three centers.
- Assists Director with special projects upon request including: planning and coordinating special marketing events, Power Point presentations at national, state, and local conferences, mass mailings, layout and design of quarterly news letter, and annual customer satisfaction survey.
- Prepares for and assists the Director with regulatory documents required by the Department of Health, Child and Adult Care Food Program, Veterans Administration, and agency contracts.
- Arranges all travel reservations, accommodations, conference registrations and marketing events for the Director and staff, and secures payment for these events.
- Fosters customer satisfaction, including greeting visitors, conducting tours, dealing with complaints, working with outside agencies and vendors, and other departments.
- Assists in the duties of the Transportation Coordinator in her absence.
- Performs other duties as assigned by Director.
Candidate Requirements:
- A.A.S. degree or equivalent from technical school with three to five years’ progressively responsible secretarial experience.
- Must have sound knowledge of medical terminology.
- Must be able to type min. 60 wpm.
- Computer literate to include; Excel, Words, Spreadsheet, e-mail and calendar/scheduling experience required.
