Medical Records - Registration Clerk
Behavioral Health Services
Hourly Range: $14.57 - $21.84
First shift (7:00AM-3:30 PM) Weekend rotation and Holidays required.
Job Summary: To ensure the completeness, accuracy, and privacy of all client’s medical records. The Medical Records – Registration Clerk is versed in record control, release of information, HIPPA rules and regulations, customer service, processing of legal documents and Electronic Medical Records (EMRs). This position is responsible for routing and maintaining medical information as well as completing registrations. The Medical Record –Registration Clerk is responsible for maintaining the fiscal data, insurance, and consent forms. All medical record – registration clerks work weekends and holidays and may be subject to mandating.
Job Responsibilities:
- Perform assigned clerical tasks. Maintain electronic medical record files for patients, to include opening and closing of care episodes, diagnosis, fiscal insurance data, verifying client information, and insurance verification. Legal processing and release processing.
- Process registration and admission for new clients. Open new episodes for existing clients.
- Enter and verify current insurance information into Avatar and scan to chart.
- Provide front desk/reception coverage. Direct calls, take messages, receive release of information requests, complete registrations received via registration line, update logs of all registrations and requests.
- Maintain and update medical record logs daily.
- Assist with public requests, process faxes, sort and distribute mail, process alerts and record requests. Maintain and update fax log daily.
- Sort and scan incoming documents from organizations pertaining medical records or insurance verifications.
- Receive and process incoming medical and legal documents.
- Assist providers with finding paperwork and completing records.
- Release of information processes and basic knowledge of HIPPA rules and regulations.
- Perform all other duties assigned.
Minimum Requirements:
- Current Resident of Wisconsin
- HS Diploma or GED equivalent.
- At least two (2) years of medical records experience required.
- Knowledge of HIPPA rules and regulations.
- Basic experience with Electronic Medical Record (EMR) scanning.
- Basic knowledge of all related computer and software applications such as Microsoft Word and Excel.
- Able to work 7:00AM –3:30PM with rotating weekends and holidays.
- Ability to lift/carry up to 20lbs and push/pull up to 30lbs as needed.
Knowledge, Skills and Abilities: Knowledge of office practices, principles, methods and procedures; knowledge of spelling, grammar and punctuation; knowledge and proficiency in the use of a personal computer; written and oral communication skills; organizational skills; ability to follow oral and written instructions; ability to maintain records, files and store items numerically, alphabetically or by classification; ability to perform data entry into a computer system; ability to perform basic math computations; ability to work effectively and harmoniously with others; ability to maintain sensitive or confidential information.
