NYCAY - Asst. Mgr, Global Mobility and Payroll 

Position Summary:
This position is responsible for facilitating the relocation process for employees moving to and from the United States from various regions or countries. The GMS will manage all aspects of the relocation journey, providing comprehensive support to ensure a seamless transition for employees and their families. Additionally, this position is also responsible for partnering with Mitsui USA Payroll organization on cross training and assisting with payroll and accounting needs.

Payroll Responsibilities – 50%
•    Assisting with the payroll process for employees on assignment in the U.S. This includes, but is not limited to, preparing worksheets, reconciling data, tax reporting to government entities, loading payroll data into the general ledger, etc.
•    Responsible for client payroll calculation, end to end payroll processing and related service (e.g., salaries, social insurance, withholding tax, inhabitant tax).
•    Communicating with group companies for which we provide payroll services:  gathering relevant information, invoicing for services provided, responding to various inquiries, etc.
•    Manage the data reported to the general ledger. Ensure that expenses are being allocated to the correct departments, including split payrolls. Manage the data feed from Dayforce to ensure the smooth communication of payroll data.
•    Prepare HR reports such as movement, headcount, summary, cost Centre allocation and payroll breakdown reports.
•    Attend client meetings and onboarding of payroll employees as needed.
•    Assists and participates in miscellaneous projects as assigned by General Manager.

Mobility Responsibilities – 50%
•    Collaborate with the Human Resources Department to on-board employees assigned to work in the U.S.
•    Responsible for responding to various requests for information.
•    Oversees Mobility opportunities working closely with GM and VP, including but not limited to guiding employee through legal process to obtain visas. 
•    Manage assignment process for new expats, including pre-assignment communication (introduction for new expat), compensation package, and new assignment acceptance.
•    Manage the preparation and the signing process of the corresponding agreements/documents related to the relocation process.
•    Manage process for returning expats, including response to return, support for temporary return to home country. 
•    Manage VISA and Social security procurement process including extensions/renewals.
•    Provides timely guidance, support, and advice to business management to develop resolution in managing employees issue and concerns effectively.
•    Manage current expat policies, including management of housing system, expat children's education system, medical insurance, lease car management as well as managing attendance/leaves.
•    Manage rotation planning process, collaborate with expats to establish goals, and oversee evaluation process.
•    Assist expats with processing expenses and reimbursement.
•    Manage expat labor cost/expense budget.
•    Collaborate with other teams within the Human Resources Department 
•    Assists and participates in miscellaneous projects as assigned by General Manager.

Required Skills/Competencies:
•    Role demands strategic thinking, tactical ability, strong analytical skills, and strong collaborative skills. 
•    Strong general accounting skills required.  Position also requires use of several in-house and/or professionally produced software packages.  
•    Should possess the ability to adapt to a cross-cultural environment.
•    Strong knowledge of immigration laws, tax regulations, and relocation practices.
•    Excellent communication, interpersonal, and cross-cultural skills.
•    Ability to manage multiple priorities, meet deadlines, and work effectively in a fast-paced environment.
•    Proficiency in relevant software and tools (e.g., Microsoft Office, HRIS).
•    Cultural sensitivity and awareness of international business practices.
•    Certification in global mobility (e.g., GMS, GMS-T) a plus.

Experience and Education: 
•    Bachelor's degree in international relations, business administration, or related field.
•    Minimum of 4 years in global mobility, expatriate management and payroll administration.
•    Must have experience in Visa procurement process.

Technical / Communication Skills:
•    Strong PC skills, including word processing and proficiency in using Excel.
•    Strong organizational skills, the ability to manage multiple projects and a commitment to meeting deadlines are a must.
•    Experience using HRIS / Dayforce is a plus.
