Collections Coordinator

Areas of Responsibility and Job Requirements:
Responsible for the requisition, collection, and monitoring of subsidy funds (including, but not limited to, HPD Section 8 subsidy, NYCHA Section 8 subsidy, CVR Section 8 subsidy, City FHEPS, and FHEPS). This role involves liaising between properties, clients, and state and city agencies, providing training, and ensuring compliance with HUD and government agency submission requirements.
Responsibilities include, but are not limited to:
- Ensuring timely and accurate requisition and collection of subsidy funds.
- Monitor and provide regular reporting on subsidy receivable issues, which includes not only current receivables, but historical subsidy reconciliations as needed or requested.
- Act as liaison between Property Managers, Accounts Receivable and various city and state agencies, to ensure the timely collection of subsidy funds.
- Audit all receivables including detailed analysis of ledgers, making corrections where readily apparent, communicating with site staff to clarify correct rent/subsidy amounts, unpaid charges, and outstanding credits.
- Ensure all new tenants funds are received timely, and any delays are communicated and researched.
Minimum Education Requirements:
- Bachelor’s degree preferred or a combination of work experience, education and professional designations, certifications
- Preferred Certifications: RAM, ARM, AHM, LIHTC and CPM
Minimum Years of Experience Required:
- 2+ years of experience in Property Management Operational role(s) with a college degree -or-
- 4+ years of experience in direct APM/AGM role at similar scale/scope properties without a college degree
Additional Knowledge, Skills and Abilities:
- Must be proficient in Microsoft Office applications
- Proficiency in Yardi required
- Must have experience in residential housing (market-rate and/or affordable) and regulatory compliance
- Strong understanding of Building Finance and PM-specific Financial Reporting
- Strong understanding of Regulatory Compliance (Rent-Stabilization/Fair Housing/Section 8, etc.)
- Must have project management experience
- Must display ability to complete tasks/projects on-time
Competencies/Essential Job Functions:
This position consists mainly of sedentary work. The position may require exertion of up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. The role involves sitting most of the time.

- This role occasionally requires incumbent to climb, balance, stoop, stand for long periods of time, walking and/or moving about on foot to accomplish tasks particularly for long distances; moving from one work site to another or occasionally in narrow aisles, hallways, or passageways; feel and touch objects with fingers, palm, and hands, lift up to 10 pounds.

The incumbent may occasionally be subject to environmental conditions (protection from weather conditions, but not necessarily from temperature changes.
The incumbent may occasionally be subject to noise sufficient to cause the worker to shout in order to be heard above the noise or vibration.
