Areas of Responsibility and Job Requirements:
Partners with Regional and Property Managers to resolve landlord and tenant legal issues and partners with all L&T attorney regarding case management
Responsibilities include, but are not limited to:
- Reports to attorneys regarding any new and current laws as it pertains to L&T
- Acts as liaison with the Yardi team regarding L&T reporting & spearheads creating ideas for the Legal team
- Responsible for onboarding and training of the Legal Module with all on-site managers
- Prepares commencement of rent demands reports to the attorney's office
- Updates legal case status in Yardi
- Scans and uploads stipulations of settlement as an attachment into Yardi
- Commences all holdovers: Failure to Renew, Failure to Recertify, Succession Cases, and Illegal Sublets
- Communicates with legal tenants and third-party law firms regarding case status
- Reviews all stipulation documents to make any necessary rent adjustments; submit same to Accounting Dept
- Prepares monthly legal quarterly reports for all properties across the portfolio
- Communicates with Asset Management regarding balances due on legal reports (i.e. write-offs or potential collection cases)
- Prepares monthly legal reports regarding percentages of units that are in legal proceedings
- Prepares monthly legal reports to Leasing Dept. regarding status of all “Failure to Renew” cases
- Attends court appearances - Trials & Inquests
- Prepares for trial - gathering of all "prima facie" documents (MDR, Rent Roll & Deed)
- Provides on-going communication with Property Managers regarding repairs and possible settlements
- Receives and processes NYC HPD cases including follow-up with our third-party attorneys and L&M Legal
- Meets with tenants in person to accept stipulation/rent payments; review tenant ledger if they feel there might be any discrepancies
- Meet with HRA and other city agencies to accept payments on behalf of tenants who are in "legal".
- Provides updates on pending cases to external and internal stakeholders
- Reviews legal invoices and approve in AVID
Minimum Education Requirements:
- High school diploma or equivalent required
- Associate degree or Bachelor’s degree, preferred
- Paralegal degree or certification required
Minimum Years of Experience Required:
- 5+ plus years with a L&T department at a law firm or property management company required
Additional Knowledge, Skills and Abilities:
- Proficient in Microsoft Office Suite
- Experience with NYC rent laws
- Ability to prioritize and manage multiple open legal cases at the same time
- Must have excellent verbal and written communication skills
- Experience with Yardi, preferred
- NYS Notary public license, preferred
Competencies/Essential Job Functions:
This position consists mainly of light physical work. The position may require exertion of up to 10 pounds of force occasionally to lift, carry, push, pull or otherwise move objects, including the human body. The role involves sitting most of the time.
The incumbent is required to have visual acuity to determine the accuracy and thoroughness of the work assigned or to perform an activity such as: preparing and analyzing data, reports, transcribe data, view computer screens for extended periods of time, extensive reading, reports etc.
- This role frequently requires the incumbent to reach objects, engage in repetitive movements with the wrist, hands, and fingers by typing; feel and touch objects with fingers, palm, and hands.
- The role also requires incumbent to talk and hear, expressing or exchanging ideas by means of spoken work and the ability to receive detailed information through oral communication, and to make distinctions in sound.
- The incumbent will occasionally be expected to climb, stoop, kneel, crouch, grasp, and lift up to 10 pounds
Work Environment:
This position will be occasionally subject to both indoor and outdoor environmental conditions and temperature changes (extreme cold or extreme heat) with or without effective protection from the weather.
The incumbent may be occasionally subject to atmospheric hazards (i.e. conditions that affect the respiratory system such as fumes, odors, dust, mists, gases, or poor ventilation).
The incumbent may occasionally be subject to noise sufficient to cause the worker to shout in order to be heard above the noise.
