Position Profile: Event Coordinator
Department: Arrowhead Events
Status: Full-Time, Non-Exempt


JOB SUMMARY: The Event Coordinator is a full-time position with Arrowhead Events, the event booking and production entity of the Kansas City Chiefs and GEHA Field at Arrowhead Stadium. Arrowhead Events is responsible for making Arrowhead Stadium a meeting and event services destination for corporate, internal, and other special events in the Kansas City area. This position takes a lead role as the liaison and coordinator for internal and external corporate event clients. This includes all aspects of the execution of the event to ensure flawless operation of assigned events at Arrowhead Stadium.


ESSENTIAL ACCOUNTABILITIES:

1. Plan, service, and execute Arrowhead Events Corporate Events.
2. Meet with facility clients prior to events and assist in determining event needs; Consult with exhibit managers, promoters, convention representatives, and others concerning physical set-up needs and requirements for assigned areas.
3. Provide clear, concise, and timely communication of detailed requirements and coordinate support staffing including conversions, engineering, housekeeping, security, audio/visual, IT, and event staff personnel.
4. Prepare diagrams, instructions, set-up requirements and supporting documentation for each event and distribute to appropriate staff; communicate changes before and during events.
5. Support the senior team members with various events and projects.
6. Inspect facilities and contracted areas to ensure they are being maintained properly for events and ensure compliance with applicable fire, building and safety codes.
7. Financial reconciliation of assigned events and their expenses.
8. Work game day, special events and other events in various capacities.
9. Attend and lead various weekly scheduled meetings.

PHYSICAL REQUIREMENTS:
1. Light office duties and activities.
2. Long periods of standing and walking.


MINIMUM QUALIFICATIONS REQUIRED (EDUCATION/EXPERIENCE/KNOWLEDGE/SKILLS)
1. Two to four (2-4) years of increasingly responsible experience in event planning. Having experience in a stadium, arena, convention center or public assembly facility setting is desired but not required.
2. Bachelor’s degree or better from an accredited college/university with major coursework in event management, hospitality management, or a related field.
3. Flexibility in work schedule. Ability to work days or nights, weekends and holidays on a consistent basis.
4. Must be detail oriented and be able to multi-task.
5. Must have good communication skills.
6. Must have good time management skills.
7. Must be able to establish professional relationships with staff and clientele.
8. Strong computer skills including Microsoft Office applications, word processing, spreadsheets, database, presentation and Internet software.
9. Demonstrated strong customer service skills.
10. Knowledge of A/V equipment and electronic systems.
11. Experience with budget preparation and control.
