PRIMARY RESPONSIBILITIES:  Receive, record, and distribute requests for transportation movements upon request by JTB Hawaii, Inc.  Assign vehicles and jobs to drivers.

 

Percent Time Spent

Essential Functions

25%

  1. Coordinate activities of operators of motor coaches, mini buses, and trolleys to transport passengers according to schedule.
  2. Maintain log of scheduled runs, number of vehicles, and names of drivers.

  1. Review the Saucon GPS system monitor on a regular basis to track the fleet movements.
  2. Record movements and locations of vehicles and drivers to inform other departments regarding current schedules and routes.

  1. Receive telephone or radio reports of accidents, delays, equipment breakdowns, and other operating or maintenance difficulties.
  2. Report difficulties and dispatch orders to other divisions/departments to maintain or restore service and schedules.

  1. Dispatch extra vehicles and emergency crew to scene of accident or breakdown, providing location of incident.
  2. Record calls and emergencies and report for all accidents.

 

Secondary Functions:

  1. Complete training in data input and two other shifts including E-shift, ME-shift, M-shift, L-Shift, with the least amount of supervision in trained areas.
  2. May assist with field and/or airport dispatching as needed.
  3. Perform other duties as required.

 

Knowledge, Skills, and Abilities:

  1. High School diploma.
  2. Must possess at least one (1) to two (2) years’ work experience. Travel/hospitality or related industry work experience preferred.
  3. Must be able to speak, read and write in English; Japanese speaking ability preferred.
  4. Possess knowledge of the tour industry, tour movements, and arrangements; have understanding of Japanese culture and etiquette.
  5. Able to plan, organize, and assign the activities of the drivers.
  6. Possess accurate math skills including usage of 10-key calculator, including able to compute rates, ratios, and percentages.
  7. Possess valid Hawaii driver’s license with clean abstract.

  

Working Conditions:

Working Hours

  1. Full-time, up to 40 hours per week, Sunday to Saturday, or as deemed necessary. Shift work based on business needs.
  2. Regular attendance at the workplace is required.

 

Working Environment

  1. Air-conditioned office area.
  2. Must be flexible to work at the airport or other venues as needed where conditions may vary. 
  3. May be subject to varying weather conditions, but not limited to noise, pollution, dust, fumes and vehicle exhaust.

 

Equipment Used

Saucon GPS monitor, computer, facsimile, copier, telephones, two-way radios, cellular phones, and other general office equipment and machines.

  1. Able to learn dispatch operations, including work schedule for each shift.
  2. Able to follow specific instructions and work with established procedures, maintaining reliable work attendance.
  3. Able to multitask and work effectively under stressful situations.
  4. Able to work effectively under narrow time limitations to produce results.
  5. Able to resolve issues and complaints in a timely and professional manner.
  6. Frequent – sitting, standing, walking, vision, hearing, eye-hand-foot coordination;
  7. Occasional – pulling/lifting/carrying less than 25 pounds, running, stair climbing, bending, crawling, squatting, kneeling, stooping, crouching, climbing, forward reaching, twisting, side bending, overhead reaching, grasping, handling, finger dexterity;
  8. Seldom – pushing, pulling/lifting/carrying 25-50 pounds;
  9. Not Applicable – pulling/lifting/carrying more than 50 pounds.

 

Communication Demands

  1. Constant – requires talking and written communication to co-workers, customers and outside trade persons/vendors, talking on the telephone, responding to written or verbal requests of co-workers and vendors, reading;
  2. Occasional – requires training/giving verbal instructions, receiving verbal and written instructions, writing/composing written language, visit/working at different worksites.
