Administrative Contracts Coordinator
The general hourly range for this position is $21.00-$29.00. Salary offers will be commensurate with experience, qualifications, skills, training and education.
Humane World for Animals, a global leader in animal advocacy and protection, is seeking an Administrative Contracts Coordinator for the Office of the General Counsel (OGC). In this position you will support contract administration, compliance, and internal operating procedures. Track organizational contracts to ensure compliant and efficient overall vendor spend. Supports the administration of a small portfolio of US government and private funder awards.
Responsibilities:
•Coordinate and support overall contract administration and compliance, working with OGC and Finance to implement, review, and update contract policies and procedures. Have full working knowledge of the document and contract management systems used by the organization. Proactively identify areas for process improvement and implement solutions to enhance efficiency and compliance;
•Communicate and train staff across the Organization on the internal contract processes, policies, and templates. Work with staff to navigate correct drafting and review of draft contract documents. Develop and deliver training materials and sessions to ensure staff are well informed and confident in contract management policies:
•Track contract requests and amendments and ensure that appropriate internal parties are notified of renewal needs and expirations in a timely manner. Utilize contract management software to automate tracking and notifications, ensuring no deadlines are missed;
•Analyze and review terms and conditions of incoming contracts to ensure compliance with organizational and legal requirements and value for money. Collaborate with finance staff, support contract financial reviews and analyses;
•Ensure that documents and related reports, paperwork, etc., are collected, filed, and organized in a timely fashion. Implement and maintain organization’s tracking system for all contracting documentation in accordance with the policy, relevant regulatory requirements, and to support audit needs;
•Performing other duties and responsibilities as assigned.
Qualifications and Requirements:
•Two years of college courses Accounting, Finance, Business Management or a related area; or combination of coursework and experience. Bachelor’s degree preferred;
•A minimum of two (2) years of experience in contracts or grants administration or another related field required;
•Paralegal certification and experience preferred;
•Experience managing large, cross-functional projects is strongly preferred;
•Excellent knowledge of contracts, grants and purchasing procedures;
•Proficiency with modern accounting, purchasing, and grants/contracting software preferred;
•Strong organizational, project, and priority management skills for planning, executing, and following up on issues, projects, and daily responsibilities in order to meet established deadlines;
•Ability to enforce and implement policies and processes, while fostering innovation, and achieving results through cross-functional collaboration;
•Comfortable in a fast-paced environment with frequent deadlines; high energy, self-motivated and proactive;
•Ability to manage issues requiring problem resolution and conflict management with excellent interpersonal and intervention skills;
•Excellent written and verbal communication skills;
•Attention to detail and commitment to excellence, demonstrated by the delivery of quality and timely outcomes;
•Must be a self-starter with ability to communicate and collaborate with all levels throughout the organization to ensure compliance with policies and procedures;
•Ability to work both independently and as an effective team member;
•Proficiency with Microsoft Office products (Word, PowerPoint, Excel, Outlook);
•Strong interest in animal protection issues preferred.
This position is in the DC Metro Area- Remote Eligible
