The Integrated Care Center Clinic is a federally qualified health centers that provide primary care, behavioral health, addiction treatment, psychiatry, dental care, and more. We provide care to those most in need including those who are suffering from homelessness, mental illness, substance use, mental illness, and chronic medical conditions. The Medical Assistant Supervisor will play a key role in the overall efficiency of the clinic’s back office. In addition to the duties of a medical assistant, the Medical Assistant Supervisor supports the clinical team’s day-to-day functions consistent with healthRIGHT360 policies and procedures. This includes training and supervising and supporting medical assistants, oversight of daily medical assisting tasks, maximizing patient care team productivity, monitoring patient flow, and oversight of medical and consumable supplies. Responsibilities also include monitoring and evaluation of established workflows, deliverables, quality assurance, and support of quality improvement initiatives.  The Medical Assistant Supervisor is responsible for the direct supervision of the medical assistants as well as the management of medical assistant externs and volunteers. The Medical Assistant Supervisor works in coordination with the Call Center Manager, RN Manager and Access Manager to ensure efficient clinic flow.

Management Responsibilities: Train and support medical assistants to ensure that they are competent in assisting clinicians with different specialties, performing tests and procedures (vital signs, EKGs, ear lavage, in-house laboratory tests, venipuncture and injections, etc). Train and ensure that all back office staff are utilizing Rapid drastic project improvement (DPI) workflow processes, such as chart prepping, red carpeting, mid-way knocks, 30 second reports, and huddles. Train and manage the medical assistant externship program and volunteers. Performs audits of temperature logs, emergency crash carts, immunization logs, and other maintenance logs to ensure compliance. Audits to be performed will include, but is not limited to: dispensary temperature log, vaccine temperature log, emergency crash cart checks/log, appropriate Smart Forms generated in ECW, vitals taken and verified, medical history addressed (colorectal cancer screening, cervical cancer screening, DM retinal / eye / HbA1C testing, etc), allergies documented, correct templates merged, and correct chief complaint.

 

Supervision Responsibilities: Ensure Medical Assistants are trained appropriately, conduct chart audits to ensure quality, provide feedback, recommendations, and complete write-ups and performance improvement plans for Medical Assistant staff. Complete quarterly Medical Assistant supervisory check ins and annual performance evaluations. Lead staff meetings in coordination with the Operations Manager, Associate Medical Director, RN Manager, and Access Manager. Responsible for MA staff scheduling, approving time off requests, and timecard approval.

 

Medical Responsibilities:  Assist clinicians in the examination process.  Perform office tests including vision screening, spirometry, EKG, rapid strep, urinalysis, urine toxicology screen, and urine pregnancy tests.  Perform phlebotomy, injections, TB tests, breathing treatments. Will follow up on ordered labs, imaging results, medical referrals, and durable medical equipment.

 

Preparation Responsibilities: Managing sterilization of medical equipment, perform intake, including vital signs, list chief complaints, allergies, immunization histories and complete chart forms, as appropriate to patient type.  Place patients in rooms and prepare them for examination.  Clean, prepare and stock examination rooms. 

 

Coordination Responsibilities:  Receive and return telephone call from patients and pharmacies.  Assist in integration of services, scheduling specialty appointments and consultations.  Monitor and ensure quality assurance of basic clinic functions.  Oversee patient flow and ensure smooth, efficient patient flow throughout patient’s clinic experience. Ensure that huddles start on time, and staff are prepared with huddle items. Ensure patient care starts on time, and addresses any issues that affect cycle time and patient flow. Participates and leads QI/QA (Quality Assurance and Quality Improvement) projects in collaboration with other managers. Monitor and train staff for our COVID clinic.

 

EDUCATION AND KNOWLEDGE, SKILLS AND ABILITIES QUALIFICATIONS:

Education and Experience

 

Required: 

  • High School Graduate or Equivalent
  • Minimum of 2 years related experience
  • Graduation from a certified Medical Assistant program

 

Desired: Commitment to working with the uninsured and marginalized populations including the homeless, mentally ill, substance users and HIV/AIDS clients

 

Background Clearance

Required:

Must complete background check and livescan clearance

 

Knowledge

Required:

-Culturally competent and able to work with a diverse population

-Strong proficiency with Microsoft Office applications, specifically Word Outlook and internet applications

-Experience working successfully with issues of substance abuse, mental health, criminal background, and other potential barriers to economic self sufficiency

Desired:

-Knowledge of basic medical terminology

-Excellent phlebotomy skill with certification

-BLS certification (must obtain upon hire)

-Bilingual
